Editing an embedded object

You can edit embedded objects such as Microsoft Word documents, Excel spreadsheets, or Outlook email messages in their source applications, or from within Digita FileCabinet.
  1. In the Folders window, double-click the drawer ID of the appropriate drawer.
  2. Double-click the folder containing the object you want to edit.
  3. Highlight the embedded object.
  4. Choose Object > Edit Object to enter edit mode.

    • You can also edit an object by double-clicking it in the Folders window, or by double-clicking the Watch window when the object is selected in the Folders window.
    • By default, embedded objects created from Microsoft Office applications open in the application in which they were created (embedded Word documents open in Microsoft Word, for example). With the exception of Outlook email messages, you can have embedded Microsoft Office objects open for editing in the Digita FileCabinet Watch window by default by choosing Setup > User Preferences, clicking the Misc tab, and clearing the

       checkbox.
    • When editing an object from within Digita FileCabinet, the Digita FileCabinet toolbar and pull-down menus (except the File menu) change to reflect the toolbar and pull-down menus of the application in which the embedded object was created. The File menu still controls Digita FileCabinet functions. The Help menu combines the Help menus from Digita FileCabinet and the source application of the embedded object. This allows you to access the functions of the source application while editing the object in Digita FileCabinet.
    • If you run Digita FileCabinet in Digita Virtual Office, you cannot edit PDF files as embedded objects. In this case, we recommend that you make changes using the annotation features.
  5. Make the desired changes to the object. Digita FileCabinet saves the changes automatically when you close the object.
  6. To close an object you are editing from within the Digita FileCabinet Watch window, choose Close Object from the File menu. The toolbar and pull-down menus return to the standard Digita FileCabinet toolbar and menus.
If Adobe Acrobat is installed on your computer, you can edit embedded PDF documents. Although the Adobe Acrobat toolbar is visible when the embedded PDF document is displayed, you must select Object > Edit Object to open the embedded document in edit mode before making any changes. When you open an embedded PDF document for editing, a separate Acrobat window opens. You must close this window when you are done editing the document for any changes to be saved in Digita FileCabinet. Note that Adobe Acrobat and the Adobe Reader are separate applications and that you cannot edit embedded PDF documents with the Adobe Reader.

  • The portion of an embedded object that is displayed in the Watch window (while not in edit mode) is displayed via the source application, not Digita FileCabinet. However, when not in edit mode, only one page of a multiple-page document can be displayed in the Watch window. With the exeption of embedded PDFs, you must enter edit mode using the steps described above to see the full document. Regardless of whether you have entered edit mode, the full document prints when selected for printing from Digita FileCabinet.
  • Embedded objects that reside in an archive volume can be opened for editing within the source application, but because archived documents are "read-only," you cannot save changes to the copy that resides within the archived data. If you make changes to an embedded object that resides in a volume, you will be prompted to save a copy of the file elsewhere when you close the object. If you want to embed the edited document into the current drawer, save a copy of the file and then embed the document into the drawer.
