Check in or import a client data set into Digita Suite

Use the following steps to import clients into Accounts Production, Accounts Production Advanced, Personal Tax and Corporation Tax.

Accounts Production

To import a client into Accounts Production:
  1. Open the Accounts Production application and make sure you are not in any clients.
  2. Select
    File
    , then select
    Check in/out
    and
    Check In
    .
  3. Select
    Next
    on the welcome to the check out mobile data wizard screen.
  4. Select the client file where it states Open Mobile Data, then select
    Next
    .
    If the client you're importing already exists in your database, a red exclamation mark will appear.
  5. Select the client name (which appears in blue), then select to overwrite existing client.
  6. Select
    Next
    on the Check in Mobile Data screen.
    The client record should now be imported.

Accounts Production Advanced

To check in an Accounts Production Advanced data set:
  1. Save the checked out data set to a location that you can easily access.
  2. Open Accounts Production Advanced.
  3. Ensure all clients are closed in the program.
  4. Go to
    File
    , then select
    Check in Data
    and
    Next
    .
  5. Select
    Browse...
    , then select the directory and the file that you want to check in.
  6. Select
    OK
    , then select
    Next
    .
  7. After the Reporting Entity opens, select
    Next.
    If an entity is already of checked in status within the database and you try to check in the same entity, you'll get the following message: One or more entities require a decision to be made before they can be checked in.
  8. Select the entity name, then select your options.
  9. Select
    OK
    , then select
    Next
    .
    The data set will then load and open.

Personal Tax

To import a file into Personal, Business and Trust Tax:
  1. In Personal, Business and Trust Tax, go to
    File
    ,
    Close
    .
  2. Select
    File
    , then select
    Import
  3. Select
    Export
    , then select
    Client Transfer Manager
    and
    Import
  4. Find the saved client file, then select
    Open
    and
    OK
    .
  5. Enter the password when prompted (whoever exported the file should advise you what password they set).
    1. You may get a message asking if you wish to overwrite existing data. If so, select
      Yes
      to this prompt.
    When you import a client file, it will include any linked files. For example, where a married client is a partner, the imported file will also include the client's spouse, the partnership(s) they are linked to, as well as all of the other partner(s) and their spouse(s).
  6. Once the file has successfully imported, select the Refresh button in the client list to update the data.

Corporation Tax

To import a file into Corporation Tax:
  1. Ensure that you've saved the file to a location you can access from your workstation.
  2. In Corporation Tax, go to
    File
    , then select
    Import/Export
    and
    Import Companies
    .
  3. Find the saved file location, then highlight the file and select
    Open
    .
  4. Enter the password when prompted (whoever exported the file should advise you what password they set), then select
    OK
    .
  5. Select
    YES
    at the prompt to continue with the import.
