Mark entities as inactive so they don't count towards your Digita Suite licences

Clients and users count toward your total number of licences used for Digita applications.

Corporation Tax, Accounts Production, and Accounts Production Advanced

You can create a defined number of companies under your licence.  There is no means of marking a company as
inactive
so it is not counted towards your licence total. Instead, you can save a copy of the entity and then delete it from application.
The saved copy could then be re-imported at a later date if required, provided you have not applied any updates to the software in the meantime.  We would also recommend that you keep paper or PDF copies of submitted computations, accounts and CT600s.
Also any HMRC's acceptance messages for any returns submitted online for your records.

To delete an entity, please ensure that you are logged into the application as the
Administrator
or as another user name with permission to delete companies.  Then select
File
followed by the appropriate delete option. Highlight the company you wish to remove and click
Delete
Please note that deletion is final and cannot be reversed.

Personal Tax

To mark a client as inactive, go to
Edit | Client Details | General
tab and remove the tick from the
Active
tick box. Marking a client as inactive will stop them from automatically being included in reports and will stop them from counting towards the client license. If the client has a return created for the tax year that the software relates to, then the client will still be treated as active until the following year's software release has been applied. If the return is blank, you can delete it by going to
Form | Delete Tax Return
and the client will then be immediately treated as inactive.
Please note that partnerships cannot be marked as inactive for the purpose of not counting towards the client license as they use a business license rather than a person license.
Please also note that although a person may be marked as inactive, if they are linked to a business tax sole trade, they will still be using a business license.

Company Secretarial

Open up the client in Company Secretarial, within the
Company
tab of the client there is an Active tick box. Untick it and select Yes when prompted with the message that the action can't be changed. But please note, that once you make a client inactive in Company Secretarial there is no way to make it active again.

Practice Management

This application doesn't actually limit how many entities you can set up within it, so therefore it's not really required to make them inactive within the software. However, if you no longer need an entity in the application you can delete it via the File drop down menu.
