Prepare Excel data for import into UltraTax CS statements

Before you can import data from Excel (or another application) into UltraTax CS statements, you may need to take extra steps to prepare the information for processing.
Save the Excel spreadsheet containing the data you want to import to a local or network hard drive, or embed it in FileCabinet CS. If you received the spreadsheet from a client as an attachment to an email message, use Excel to save the file to the hard drive.

If the data is not in Excel format (it was created and saved in an application other than Excel), copy the data to the Windows Clipboard. To do this, open the spreadsheet file, select all the data you want to import, and select
Edit
, then
Copy
. Consult the help for the spreadsheet application for more information on copying a range of cells.

Formatting guidelines for Excel spreadsheets

Consider the following information when creating or formatting an Excel file to import into an UltraTax CS statement. Also, review the examples of data that need verification for information on formatting certain values.
  • If a password is needed to open the Excel file, you'll receive a prompt to enter the password to select the file for import.
  • If a password is needed to change the Excel file, you won’t be prompted for the password because UltraTax CS uses read-only access to extract the information from the Excel file.
  • Certain formatting in Excel won’t affect the data imported into UltraTax CS. For example, if a date is formatted in Excel as
    18-Mar-2009
    , the value of
    3/18/2009
    is imported into UltraTax CS. You can format dollar amounts as either numerals or currency.
  • Columns hidden in Excel will display in the grid on the Import Spreadsheet - Step 2 of 2 window in UltraTax CS.
  • If the Excel spreadsheet includes headings, subtotals, totals, and footnotes, you can use the Import Spreadsheet - Step 2 of 2 window to ignore these rows and prevent unwanted data from transferring into the UltraTax CS statement.

If the spreadsheet has column headings, include them in the range to copy so they’ll be available for reference when mapping columns in UltraTax CS.
