Managing FBT Users

System administrators add user logins to the ONESOURCE system using the Administration tile. Once users logins are created, administrators can bring the logins into the Fringe Benefit Tax system and manage user roles. You can also use the bulk update function to change the roles of multiple users.

Getting Users from ONESOURCE

Once user logins are set up in ONESOURCE using the Administration tile, you need to import them into Fringe Benefit Tax.
  1. Select
    Administration
    , then
    Users
    from the navigation bar.
  2. Select the
    Get users from ONESOURCE
    option on the toolbar. New users will be displayed in the list.

Manage a user's role

Application administrators can define change an individual user's role or assign them to a different reporting entity. Each user can have different roles in each organisation in a multi-organisation tenant such as a tax agent.
To manage a user's role:
  1. Select
    Administration
    , then
    Users
    from the navigation bar.
  2. Select the
    Manage this user's roles
    option on the toolbar.
  3. Select the user.
  4. Use the
    Reporting Entities
    dropdown to select the reporting entity for this user.
  5. Use the
    Role
    dropdown to select a role for the user.
The following roles can be set for a user:
  • Application Administrators
    have access to all areas of the program and can allocate user roles up to and including Application Administrator.
  • Organisation Administrator
    user is typically the person managing the FBT team.
    • They can:
      • Create new Organisations
      • Allocate users to Organisations and manage roles for Users up to and including Organisation Administrator.
      • Edit all areas of Organisations they have created, or have been assigned access to by an Application Administrator
      • Generate the FBT return, the e-file, and RFBA letters
      • Lock or Unlock an FBT period
    • They cannot
      • Create or edit the access of Users for Organisations they do not administer
  • FBT Preparer
    users are typically the people preparing the FBT return.
    • They can:
      • Add, edit, group, ungroup, lock and unlock Reporting Entities
      • Add and edit cost centres
      • Add and edit standard categories
      • Add, edit, and generate declarations
      • Add, edit, and generate RFBA letters
      • Add and edit user defined columns
      • Add an edit employees
      • Group and ungroup reporting entities
      • Add and edit data in all workpapers
      • Add, edit, and generate reports
      • Upload and paste data
      • Generate an FBT return and its e-file
      • Create an amended return
    • They cannot:
      • Add or edit user roles
      • Add or edit organisations
  • FBT Reviewer
    users are typically the people reviewing the FBT return (such as your accountant).
    • They can:
      • View any benefit workpaper
      • Add, edit, and generate reports
      • Generate the FBT return and its e-file
    • They cannot:
      • View user details
      • Amend workpaper or reporting entity data
      • Amend the FBT return
      • Lock or unlock an FBT period
      • Edit an RFBA letter or declarations
