Setup user preferences

Setting up user preferences for receipt & adjustment entry

Use the Receipt & Adjustment Entry tab of the
User Preferences
 dialog to set defaults for data entry fields, skip or hide various fields, set data entry options and display settings, and specify the tab of the
Receipt & Adjustment Entry
 screen to start by default when accessing that screen.
From the
Setup
 menu, choose
User Preferences
, then go to the Receipt & Adjustment Entry tab.

Your firm’s administrator can specify default user preferences when setting up new staff in the application (Setup > Firm > Preferences tab). Staff members with security privileges can later change these preferences if they want. To restore the firm’s defaults at any time, select the
Reset to new Staff defaults for Firm
 link.

Settings and field defaults

  • In the
    Control Date
     field, you can select
    Most Recent
     or
    Today’s Date
     as the default.
  • In the
    Bank Account
     field, select a default bank account.
  • In the
    Adjustment Bank Account
     field, you can select a default bank ID for adjustment entries.
  • In the
    Date
     field, you can select
    Sheet Date
     or
    Today’s Date
     as the default for receipt and adjustment entries.
  • In the
    Client
     field, mark the
    Description
     checkbox if you want the Client Description column to show in the
    Receipt & Adjustment Entry
     screen.
  • In the
    Type
     field, select a default type for line items. Choices are
    Credit Memo, Debit Memo, Non-Sufficient Funds, Receipt
    , and
    Write-Off
    . Mark the
    Description
     checkbox if you want the Type Description column to show in the
    Receipt & Adjustment Entry
     screen.
  • You cannot enter a default reference number, but you can mark the
    Skip
     and/or
    Hide
     checkboxes to skip the
    Ref Number
     field during data entry.
  • In the
    Comment
     field, you can enter a default comment to use on transactions.
  • Mark the
    Skip
     and/or
    Hide
     checkbox to skip or hide the
    Invoice Search
     field during data entry.
  • Mark the
    Skip
     and/or
    Hide
     checkbox to skip or hide the
    Links
     button during data entry.
  • Mark the
    Skip
     and/or
    Hide
     checkbox to skip or hide the
    Custom Fields
     button during data entry.

Entry

  • Automatically apply receipts to oldest first:
     Mark this checkbox to automatically apply receipts to the oldest outstanding balances first.
  • Automatically display the applied amounts:
     Mark this checkbox to display the Applied Amounts dialog automatically.
  • Automatically display Links entry:
     Mark this checkbox to display the Links dialog automatically.
  • Automatically display Custom Fields entry:
     Mark this checkbox to display the Custom Fields dialog automatically.
  • Implied decimal on amounts:
     Mark this checkbox to use an implied decimal on amounts (meaning you can enter
    50
     for $50.00 rather than
    50.00
    ).
  • Automatically check spelling:
     Mark this checkbox to have the application check spelling of entries automatically.

Display settings

  • Display hash totals:
     Mark this checkbox to show hash totals at the bottom of the grid.
  • Start-up tab:
     Choose the tab of the Receipt & Adjustment Entry screen you want the application to start on by default.
