Lookup List Sync Utility in GoFileRoom

Use theLookup List Sync utility to sync GoFileRoom Lookup lists with your firm's time and billing applications that use a SQL database.
You can use the Lookup List Sync utility with any database you can make an ODBC connection to. Before you can install this utility, you'll need to make an ODBC connection to the SQL database. You typically do this on the SQL server that hosts the database, but you can also connect using another server or computer that has access to the SQL server. Regardless of where you create the OBCD connection, that workstation should stay on at all times or else the utility won't run.
  1. On the computer that will run the LookUpList Sync utility, double-click
    odbcad32.exe
    .
    • 32-bit computer:
      C:\Windows\System32\odbcad32.exe
    • 64-bit computer:
      C:\Windows\SysWOW64\odbcad32.exe
  2. Go to the System DSN tab and select
    Add
    .
  3. Select
    SQL Server
    , then
    Finish
    .
  4. Enter a name and description for the data source. For example, you can use
    GFR_Lookup_List
    for both the name and description.
  5. Select the correct SQL Server, then
    Next
    .
  6. If multiple people log in to this computer, we recommended you choose the
    With SQL Server authentication using a login ID and password entered by the user
    option.
  7. Enter the login and password for the SQL server. You should choose a SQL login that has read access to the SQL Database

    If only a domain administrator account is used on this computer, you can choose
    With Windows NT authentication using the network login ID
    .
  8. Select
    Next
    .
  9. Mark the
    Change the default database to
    checkbox, and then select the applicable database from the drop-down list.
  10. Select
    Next
    , then
    Finish
    .

Install the Lookup List Sync Utility

  1. Download the Lookup_List_Sync.zip file.
  2. Extract the files to an easy-to-find location.
  3. Double-click the
    Lookup List Sync.msi
    file, and follow the prompts in the installation wizard .
  4. When installation is complete, create a
    GFRTemp
    folder in the
    C:\Program Files (x86)\GoFileRoom\GFRLookupListSync
    folder.
  5. Right-click the
    GFR_LookupListSync INI (Manage).exe
    file, choose
    Run as administrator
    .
  6. On the General tab, enter your GoFileRoom upload account credentials in the
    GFR User ID
    and
    GFR Password
    fields.
  7. Enter the Start, End, and Interval times you want the utility to run using military time. For example, if you put Start at 0600, End at 2300, and 0060 for Interval the utility would run every hour between 6:00AM and 11:00PM.
  8. In
    Temp Path
    , enter
    C:\Program Files (x86)\GoFileRoom\GFRLookupListSync\GFRTemp
    .
  9. Go to the eMail tab.
  10. Select the type of emails you'd like the utility to send in the
    Levels
    field. Most people typically choose
    Errors only
    .
  11. In Customer email, enter the email address you want to utility to send notifications to. You can enter multiple by using a semicolon to separate.
  12. In the
    Immediatech Support eMail
    field, enter
    gfrsupport@thomsonreuters.com
    .
  13. Leave the
    Login ID
    and
    Password
    fields blank
  14. Go to the List tab if you want to set up multiple Lookup List fields in GoFileRoom. People often set up Lookup List fields for their Clients Drawer, HR Drawer, CPE Drawer, or My Files Drawer.
  15. In the
    DSN
    field, enter the name you created when you set up your OBCD connection to the SQL database. For example, GFR_Lookup_List.
  16. If you use SQL Authentication during the ODBC connection, enter the SQL username and password. If you use Windows Authentication, you can leave these fields blank.
  17. Do the following to find the
    Drawer ID
    and
    List ID
    .
    1. In GoFileRoom, go to
      Administration
      and select
      Manage Fileroom.
    2. Go to the Lists tab.
    3. Select
      Manage Lookup Lists
      , then choose the applicable drawer from the
      Drawer
      field.
    4. Right-click anywhere in the blank area on the page and select
      View Frame Source
      .
    5. A new tab will open. In the image below, the Drawer ID is 0000000007 and the List ID is 4 (lookuplinkid).
  18. Use the
    Query
    field to enter information that your firm syncs with GoFileRoom. You can use Scripts folder that was extracted from the Lookup_List_Sync.zip download.
  19. After you enter information in these fields, click
    Add
    to save the query and include it in the list. Click
    Preview
    to verify that the utility populates this information as expected. Click
    OK
    to close the dialog.
