Unable to import Sole Trades or Partnerships from Accounts Production Advanced into Personal Tax
To import client accounts data from Accounts Production Advanced to Personal Tax:
- the entity must be created in both applications and integrated with Practice Management, and
- The Accounting Period dates for the client in both application must match exactly.
Check the Integration button icon is green in both applications
- Open the client in Accounts Production Advanced. Check that theIntegrationbutton at the bottom left has a circle icon displayed in green.
- Open the client in Personal Tax. Check that theIntegrationicon at the bottom right is displayed in green.
Integration button icon is red or grey in Accounts Production Advanced – share clients
- If the circle icon on theIntegrationbutton is red or grey, then you will need to share the client. Close the client, then select theIntegrationbutton andShare Clientsfrom the pop-up menu.
- In the Select Clients to Share dialog box, select thecheck boxnext to the client, then theOKbutton.
- The Share Clients Wizard is displayed. Select theNextbutton until you reach the end, then theFinishbutton.
- If the Resolve Potential Matches dialog is displayed, select the appropriatecheck boxesto match clients, then theOKbutton.
- When the Client Sharing Complete message is displayed, select theClosebutton. (The next time you open the client in Accounts Production Advanced, theIntegrationbutton should have a circle icon displayed in green.)
Integration icon is red or grey in Personal Tax – share clients
- Close all clients, then selectFileandShare Clientsfrom the main menu.
Integration button is green but import fails – check Accounting Periods
- Open the client in Accounts Production Advanced. In theSummarytab, make a note of the Accounting Periods on the right.
- Open the client in Personal Tax. In the Information Explorer pane, expand the folders to view the contents of theAccountsfolder. Check that theAccounting Perioddates match those you noted in Accounts Production Advanced.
Check for duplication of clients in Practice Management
You might be prevented from importing data into Personal Tax if the clients in Accounts Production Advanced and Personal Tax link to duplicated clients in Practice Management. The following steps explain how to check if there are duplicate clients.
- Open up the client in Accounts Production Advanced and select the blueGenerallink.
- in the General dialog box, select theEditbutton to view the link to the Practice Management record.
- The linked client record is displayed in Practice Management. Make a note of theClient code, then select theSave and Closebutton.
- Open the client in Personal Tax and select the blueClient Detailslink.
- In the Client Details dialog box, select theEditbutton.
- Practice Management opens and the linked record is displayed. Check that the client code is the same as the one you noted in the client record linked to Accounts Production Advanced.
How to deal with duplication of clients in Practice Management
If you've found two duplicated clients in Practice Management, you will need to break the integration link to one of them.
- Open Practice Management, right-click on one of the duplicated clients and selectDelete.noteWhen you view a list of clients in Practice Management it will not be clear which application (Accounts Production Advanced or Personal Tax) the duplicated client is linked to.To establish this, you need to open the client in Accounts Production Advanced or Personal Tax, view the client details and select theEditbutton to open Practice Management. Now make a note of the client client, close both applications and reopen Practice Management to locate the client by matching the code.
- Open Accounts Production Advanced and select theIntegrationbutton, thenShare Clients.
- Follow the steps in the Share Clients Wizard. When you reach the Resolve Potential Matches dialog box, select the appropriate check boxes to match the client details (instead of creating a new client in Practice Management).
Integration of sole trade clients
For sole trade clients the Accounts Production Advanced record should link to the sole trade in Practice Management while the Personal Tax record should link to the proprietor. You can check this by carrying out the following steps.
- Open the sole trade in Accounts Production Advanced.
- Select the blueGenerallink.
- In the General dialog box, select theEditbutton.
- Practice Management opens and displays the sole trade's record. Select theproprietor's name link.
- Check theCodein the proprietor's details to verify that this client record is the same as the record linked to from Personal Tax.
