Editing multiple staff

The Edit Multiple Staff dialog provides a quick way to edit information for multiple staff members at a time, or to copy staff information from one staff member to one or more others.
To open the Edit Multiple Staff dialog, choose Setup > Staff, and then click the
Edit multiple Staff
link at the bottom of the screen.

Selecting the staff members to edit

  1. Open the Edit Multiple Staff dialog.
  2. Click the appropriate option in the first screen of the dialog, depending on which information you want to change, and click Next.
  3. In the left pane, select the staff members whose records you want to change and click the Select button.
    note
    • To select multiple staff, hold down the CTRL key as you make your selections.
    • Use the
      Search
      field to locate specific staff members in the list.
    • Use the
      Filter
      field to narrow down the list of staff. To display the filter field, click the Show filter button.
  4. When finished with your staff selections, click Next.

Staff edit options

Follow the appropriate set of instructions below for the option you selected in the first screen of the dialog.

Changing staff information

  1. In the Edit Selected Staff dialog, select the field that you want to change from the first drop-down list.
  2. From the second drop-down list, enter or select the new value for the field.
  3. Click the Add Row button to change additional fields.
  4. When finished selecting fields and new values, click Finish.
  5. Click Yes to confirm the changes.

Changing staff benefits

This option is available only if you are licensed for the Staff Management module.
  1. In the Edit Multiple Staff dialog, select the benefits for which you would like to change information. To select multiple benefits from the list, hold down the CTRL key as you make your selections.
  2. Click Next. Note that the title of the dialog changes to Edit Staff Benefits.
  3. From the drop-down list, select the field(s) you would like to update, and enter the new value. If you select
    Active
    from the list, mark the checkbox to make the selected benefits active.

    • Click the Add Row button to update additional fields.
    • To remove a selected benefit from the list at the bottom of the screen, right-click and choose Remove Selected Entries from the context menu.
  4. Click Finish.

Copying staff rates

This procedure enables you to copy the billing rates used for one staff member to the records of one or more other staff members.
  1. In the Edit Multiple Staff dialog, select the staff member from the
    Staff
    drop-down list whose rates you want to copy to the other staff members’ records.
  2. From the
    Effective Date
    drop-down list, select the effective date for the set of rates you want to copy. For example, if you want to copy the rates from when the staff member was hired, select the hire date or earliest date. You can verify the rates to be copied in the grid below the fields.
  3. Click Finish.

Adding security groups

The
Add Security Groups
option is available only if you have enabled firm security (Setup > Firm > Preferences tab).
  1. From the Description column, select the security group(s) you want to add to the selected staff.
    note
    If a selected staff member already has security groups assigned, the security groups will be replaced by the ones you select here.
  2. Click Finish.

Copying staff targets

This option is available only if you are licensed for the Staff Management module.
  1. In the Edit Multiple Staff dialog, select a staff member from the
    Copy targets from
    drop-down list. This is the staff member whose targets will be copied to the selected staff.
  2. In the grid at the bottom, click the rows for the targets you want to copy.
    note
    To copy multiple targets, press SHIFT or CTRL while making your selections.
  3. Click Finish.

Adding staff skills

This option is available only if you are licensed for the Staff Management module.
  1. In the Edit Multiple Staff dialog, select a skill area and a skill rating for each staff member you selected.
  2. Click Finish.
