Error: all licences are in use in Practice Management

Scenario

You might get the following error message
when you open Practice Management:

All licences are in use.

Cause

There are two likely causes:
  • that you did not sign out from Practice Management before you shut down your machine
  • That your machine crashed when you last used Practice Management.
Both can leave an entry in the Digita database connection table for your user account, so that Practice Management has a record that you are still signed in.
In this case, you will not be able to sign in and the connection is counted as a user licence, so your organisation will not be able to use its full number of user licences. The database connection should automatically end after 20 minutes, which will resolve the error.
If the connection does not end, ask your organisation's IT professional to take the following steps to download and run an SQL script to clear any stale connections.

Solution

  1. Download our pm-dcmfix.zip file.

    This zip file contains an SQL script (dcm.sql) and a batch file (fix.bat).
  2. Save the downloaded zip file on the server or main PC that stores the Digita database.
  3. Extract the contents of the
    dcmfix.zip
    file to a suitable location, such as the Desktop of machine that acts as the server or main PC for the Digita database.
  4. Double-click the extracted fix.bat to run it.

    When you run the file, Microsoft Windows will briefly open a DOS window.
  5. Check that the user can open Practice Management without the error message All licences are in use.
