HighQ Google Workspace add-on

The Google Workspace add-on allows you to file your emails, attachments and files directly to your Collaborate instance, from your Gmail inbox or Google Docs, Sheets or Slides.

Install the HighQ Add-on

Open Gmail and select the
Get Add-ons
icon
+
in the
Add-ons
bar (normally on the right of the screen).
Use the search field to search for
HighQ
(or
HighQ Add-on for Google Workspace
).
Select the
HighQ
add-on and select
Install
.
Once the plugin has been installed, a
HighQ
icon is displayed in the
Add-ons
bar.
Select the
HighQ
icon to open the add-on. Enter your HighQ site URL and select
Connect
.
note
The URL must include the site name.
A browser window informs you if you have entered the correct URL. Close the pop-up window and refresh your browser, you've now connected your HighQ account.

Uninstall the Add-on

To uninstall the add-on, please refer to the Google instructions here.

Save a message from Gmail to HighQ

Select the
HighQ
add-on and then open an email in your Gmail inbox. Once open, you'll have the option to save the email and/or attachments in HighQ.
note
You must first open the add-on so the application can detect your actions.
Select
Save email
to save a copy of the email and attachments in HighQ. You can select a location from your
Favorite
or
Recent
lists or select
Browse Sites
to save to a different location.
To save to a
Favorite
or
Recent
location, select an entry to jump straight to that location:
You may browse to a sub-folder in that location, and then select
Save
to save the entire email.
To browse to a new location, select
Browse sites
.

  • You must have permission to access the site.
  • If you do not see the site, select
    Next
    at the bottom of the list, or search for a site.
  • If you have access to many sites, enter a site name in the
    Search site
    field, and select
    Search
    .
Once saved, a
File successfully uploaded
message confirms that the email is saved in the selected location.
note
If
Duplicate file detection
is enabled in HighQ the application either adds a new version of a previously saved file or asks if you want to save a new version.

Save an attachment to HighQ

Open the
HighQ
app panel and then open an email in your Gmail inbox. Select
Save attachments
to save any attachments in HighQ, then select the attachments to save. By default, all attachments are selected.
Select
Next
to see a list of
Favorite
or
Recent
locations. Click an entry to jump straight to that location. To save somewhere else, select
Browse sites
.
note
  • You must have permission to access the site.
  • If you do not see the site, select
    Next
    at the bottom of the list, or search for a site.
  • If you have access to many sites, enter a site name in the
    Search site
    field, and select
    Search
    .
Browse to a sub-folder in that location, and then select
Save
to save the selected attachments.
A
File(s) successfully uploaded
message confirms that the email is saved in the selected location. Documents that are saved to HighQ are labelled
Filed to HighQ
.
You can share a link to a document on your HighQ instance. Start your email as normal, then click the
HQ
icon in the
Compose
window:
Search or browse, then select the site that contains the document. Select the document to share, then select
Share
.
Security settings
Security settings allow you to set who can access the document, what they can do and for how long.
In the
Accessible by
options, you can set the security levels for accessing the document:
  • Anyone with the link
    - Anyone can access the document
  • Users in my organisation
    - Any users in the organisation with access to the Collaborate instance
  • Any registered system user
    - External users who are already registered with Collaborate.
In the
Download rights
options, you can set security when downloading the document:
  • Download, view and print
    - This will allow users in receipt of the link or email to download, view and print the document.
  • View only
    - Users in receipt of the link or email can only view the document
In the
Link expires
option, set how long the link may be accessed:
  • Never
    - Access to the link will never expire
  • After 2 days
    - Access to the link will expire after two days
  • After 7 days
    - Access to the link will expire after seven days
  • After 30 days
    - Access to the link will expire after thirty days
  • Choose date
    - Select your own date for the link to expire
After you set security options, select
Next
.
Verify your settings, then select
Notify me when recipients download, view, or print
if you want to receive a notification.
Select
Add link
. Your email now contains a link to your document:
The recipient of your email can click the link to open the HighQ share window. It will display the document name, size, date, expiration date. They will have the option to
View
,
Download
, and
Login to your HighQ accoun
t.
If there are multiple applications that can open the document, an
Open in
option is also available to select what app you want to open the document in.
note
Depending on your share options, the recipient may be able to forward the link to further recipients.

Save a file from Google Workspace to HighQ

You can save and open Google Workspace (Docs, Sheets or Slides) documents to and from your HighQ site.
Open
Docs
,
Sheets
or
Slides
, then click the HighQ icon in the
Add-on
bar.
Save a document
Open a document in your Google Workspace and open the
HighQ
app panel, then select
Save Document
.
You see a list of
Favorite
or
Recent
locations. Click an entry to jump straight to that location. You may browse to a sub-folder in that location, and then select
Save
.
To browse to a new location, select
Browse sites
to select a site and browse to the required folder. Select
Save
to save the document.

  • You must have permission to access the site.

    Search site
    field, and select
    Search
    .

Open a document
Open a document in your Google Workspace and open the
HighQ
app panel. Select
Browse documents
to open a document from HighQ.
note
  • The open Workspace app must be able to open the selected file type.
  • You must allow your site to allow popups to open documents from HighQ:
    1. Open
      Chrome settings
      and select
      Privacy and security
      .
    2. Open
      Site settings
      then
      Pop-ups and redirects
      .
    3. Make sure that
      Sites can send pop-ups and use redirects
      is selected.
You see a list of
Favorite
or
Recent
locations. Click an entry to jump straight to that location or select
Browse sites
. You may browse to a sub-folder in that location, and then click a file to open it.
note
If you make changes to the document, please remember to save the updated file to HighQ.
Your changes are
not saved automatically
to HighQ when you close the browser tab.
