Meeting Planner: Events, Templates, and Filtering

Once the Meeting Planner is added to your dashboard, you can view the status (e.g. Upcoming, Past) and additional details for any event directly from the panel.

New Event

An Event represents a scheduled meeting managed through the Meeting Planner. Events can be created, viewed, edited, cancelled, deleted, and tracked within the Meeting Planner. When the Use event iSheet feature is enabled at the configuration level, each event is also recorded in an iSheet for workflow integration and reporting purposes.
To add a new event, click on the
New event
option from the planner toolbar. A window will open, prompting you for the event information.
You can create an event either from an already existing template or without a template.
Event Details
General
  • Event Title
    - Allows users to enter the event name. This is required field.
  • Agenda
    - Allows users to enter the event agenda or additional information.
Date and Time
  • Start Time
    - Allows users to specify the event start date and time using the date, time, and AM/PM fields.
  • End Time
    - Allows users to specify the event end date and time using the date, time, and AM/PM fields.
  • Total Duration
    - Displays the duration calculated from the selected start and end times.
Event Settings
  • Location
    - Allows users to specify where the event will take place.
  • Include Teams link?
    - Determines whether a Microsoft Teams meeting link is added to the event.
    • Yes
      - Adds a Teams meeting link to the event invitation.
    • No
      - Creates the event without a Teams meeting link.

This option is only available if the Teams integration setting was enabled when the planner was created.
Folder
The Folder tab allows users to organise event-related content by selecting an existing folder, creating a new folder, or proceeding without using a folder.
Folder options
  • No
    - Creates the event without associating it with a folder.
  • Select existing folder
    - Associates the event with an existing folder.
  • Create new folder
    - Creates a new folder for storing event-related content.

When
Select existing folder
is selected, users can choose an existing folder using the
Browse
option or remove the selection using
Clear
.
Create new folder
When this option is selected, users can:
  • Specify the
    Folder location
    where the event folder will be created.
  • Enter an
    Event folder name
    .
  • Add one or more
    Sub-folders
    using
    Add folder
    .
  • Use
    Browse
    to select a location or
    Clear
    to remove the selected location.
Attendees
Use the attendee field to search for and select users or groups available within the site. Matching users and groups are displayed as you type and are automatically retrieved from the selected site.
  • Users
    - Adds individual site users to the event.
  • Site groups
    - Adds all members of a selected site group to the event.
  • Email addresses
    - Allows external attendees to be added using their email address.
Selected attendees are included in the event invitation and receive event notifications.
Once all the details are updated, review the summary, and click
Save
. Your event will then appear on both the dashboard and the calendar.

Manage Templates

Manage Templates allows users to create, edit, and maintain reusable event templates. Templates can include predefined titles, agendas, and default settings, helping to standardise recurring events and reduce manual data entry.
Adding a template
From the Meeting Planner toolbar, click
Manage templates
to open the template manager. Select
+ Add template
to create a new template.
Enter the template details, such as the
name
,
title
,
agenda
, and required
default settings
.
Use supported variables, such as {{title}}, {{date}}, {{time}}, and {{folder_link}}, to dynamically populate event information when the template is used. To access available variables, expand the arrow below the relevant information tab. A list of pre-populated variables is displayed for easy insertion.
Once you have updated all the necessary information, save the template.
The template can now be selected during event creation to pre-populate the event form with the configured content and settings (see New Event above).
When you select an existing template during event creation, the Meeting Planner automatically populates the event form with the template's predefined content and settings. Template variables are dynamically replaced with event-specific values, allowing users to quickly create consistent events while retaining the ability to modify the generated details before saving.
Edit an existing template
Editing a template allows you to update predefined event details, agenda content, default settings, or template variables. Changes apply to future events that use the template.
Click the
Manage templates
option from the planner toolbar to access all available templates.
To edit a template, click the pencil icon next to the desired template in the list.
Similarly, to delete any existing template, simply click on the delete icon next to the template in the list.
Users can also directly
create an event
from the template by selecting the add icon and complete the required details to add the event.

Search and filter records in Meeting planner

In addition to creating and managing events, the Meeting Planner also allows you to search and filter event records when using the
List
view.
The List view displays events in a tabular format and supports
All
,
Past
and
Upcoming
event filters.
Select a filter value from the dropdown (for example,
Any
) to narrow down the dataset based on the available criteria. The planner then updates dynamically to highlight only the information that matches the selected filter.
After entering your first search term, press
Enter
or the plus icon to add it to the list. You can also add additional filters for all columns or for specific columns using the column picker.
To remove a search, click the cross  icon to delete a single filter, or use the
Clear
option to remove all search filters at once.
