Move or Copy files and folders

Administrators can move or copy files and folders from one site to either (a) another site or (b) a different location in the same site.
note
This includes, for an internal user, the option to move or copy files to and from
My files.
The
Move or Copy
feature only keeps basic file or folder information:
  • Any metadata associated with the original file is not associated with the copy (except for the filename)
  • Any custom sorting that applied to the files and folders in the source location is not applied when files are copied
  • Only the most recent version of each file is copied
If the source site had PDF conversion or DRM applied, those settings will be ignored and the native version of the files will be copied. The copied files will take their attributes solely from the destination site, such as whether DRM applies or the applicable permissions, settings, etc.

Who can move or copy files and folders?

The option to copy files from a site is only visible to a site administrator, content administrator or the site creator for that site, or to any system administrator.
An internal user has the option to move or copy files in My files.

How to move or copy files and folders

In the
Files
module, select the items to copy, then select
Move or Copy
from the
Action
menu at the top of the list.
To copy a single item you may also select the ellipsis for
More Actions
>
Move or Copy
.
note
If a folder is selected, all items in the folder are copied, retaining the complete folder structure.
Select a destination folder
You see a list of folders.
  • The folder list is displayed as a hierarchy of folders and subfolders
  • Folders that contain subfolders have an arrow to the left of the folder icon
  • Click the arrow to view subfolders
Select the destination folder for the move action.
note
If the selection includes subfolders, these are not merged with existing subfolders in the destination folder; the process creates a duplicate with the same name.
To
copy
your items, select the destination site and folder and select
Copy
.
To
move
your items, select the destination site and folder and select
Move
.
note
When you copy or move a folder, if you do not need files from the selected folders, select
Only copy folder structure
.
After your files or folders are moved or copied, you receive a message indicating that the move or copy was successful. You also receive an email once the operation is complete.
note
If there are any issues when copying the files, these issues are detailed in the message and email. If any files cannot be copied, for whatever reason, they are ignored. All other files will be copied.
Content, Site and System administrators (only) can move files and folders to a different location in the
Files
module.
note
If you do not have the required permissions, please contact your administrator.

Drag and drop

In the
Files
module, you can drag and drop existing files and folders within the main pane.
After the successful move, you'll be returned to the destination folder showing the files or subfolders in their new location.

Audit records

The system maintains an audit record of moved or copied files, on both the source and destination side. On the destination side, the audit activity includes that the file was moved or copied, and from what IP address.
