Create and manage roles and permissions

Create roles and control exactly what each role can view and do within a product.
The
Roles and permissions
tab is where you define the roles you assign to staff on the
Staff
tab, and set which permissions each role grants.
Roles are managed per product. Select a product from the
All products
list, such as Workflow Manager, to view the roles available for it.
  1. To review a role's permissions:
    1. Select a role from the roles list to view its permissions, grouped by category, such as Projects and tasks.
    note
Each permission has a checkbox. A marked checkbox means staff assigned to that role can carry out that action. The role list also shows how many permissions each role has out of the total available, for example, 9 of 20 permissions.
  2. To create a role:
    1. Select
      Add role
      .
    2. Give the role a name and select the permissions it should include.
    note
    Use the
    Search roles
field to check whether a similar role already exists before you create a new one.
  3. To edit or delete a role:
    1. Select the role, then select
      Edit
to change its name or permissions and save your changes.
    2. Select
      Delete
to remove a role you created.
      note
You can't delete a role that's currently assigned to any staff member. Reassign those staff members to a different role on the
      Staff
      tab first.
    note
    System-defined roles, such as
    Standard
    and
    Super user
, come by default and you can't delete or rename them.
User management permissions in system-defined roles
You can't edit permissions in the
User management
category on a system-defined role. This restriction makes sure someone always has permission to edit roles and permissions.
This restriction applies only to system-defined roles. You can still add or remove
User management
permissions on any custom role you create.
