Grid view

Use the Grid view to sort, filter, and update projects or tasks in a spreadsheet-style list across the firm.

Overview

The grid view provides a live, spreadsheet-style list of every project/task across the firm.

Column contents

  • Task id (Tasks only)
    : The system generated the ID of the task.
  • Project
    : The project name, which is a clickable link that takes you directly into the Project details.
  • Description (Projects only)
    : The project description.
  • Client
    : The client the project/task relates to.
  • Client code
    : The unique identifier for the client.
  • Tax year
    : The tax year the project/task relates to.
  • Status (Tasks only)
    : Where the task is in your process, for example, Not started or Awaiting client.
  • Businesses (Tasks only)
    : The number of businesses the task applies to.
  • Period
    : The period the project/task relates to.
  • Project template (Projects only)
    : The template that the project is based on.
  • Submission deadline (Projects only)
    : The statutory deadline for the project.
  • Project status (Projects only)
    : Where the project is in your process, for example Not started or Client data reviewed.
  • Complete date
    : The date that the project/task was completed on.
  • Assigned to
    : The person responsible for the project/task.
  • Manager (Projects only
    ): The manager responsible for the project.
  • Partner (Projects only)
    : The partner responsible for the project.
  • Start date
    : The internal start date set for the project/task.
  • Due date
    : The internal due date set for the project/task.
  • Priority
    : The priority of the project/task, for example Urgent or Low.
  • Application
    : The application the project/task relates to.
note
Not all columns are shown by default. Change which columns show by selecting on Column options. This only changes your own view; it doesn’t affect the data for other users but will be remembered the next time you return to the projects/tasks page.

Work with columns

  • Select a column header once to sort the rows in ascending order (for example, A–Z or oldest to newest).
  • Select the same column header again to switch to descending order.
  • Hold Ctrl and select a column header to clear the sort and return the grid to its default order.
  • This only changes your own view; it doesn’t affect the data for other users but will be remembered the next time you return to the projects/tasks page.

Pagination

When there are more projects/tasks than fit on 1 page, use the controls at the bottom of the grid.
  • Previous / Next
    : Move to the previous or next page of projects/tasks.
  • Go to page
    : Enter a page number and select
    Go
    to jump straight to that page.
  • Items per page
    : Select how many projects/tasks to show on each page (for example, 25, 50 or 100).
  • The text beside it (for example,
    Showing 1 to 25 of 250
    ) tells you, which projects/tasks you're viewing and the total number available.

Search and filter

Quick filters give you a fast way to focus on projects/tasks that need attention, without having to set up a filter.
  • Open (Tasks only)
    : Tasks that are not completed.
  • Unassigned (Tasks only)
    : Tasks for which no staff member has been assigned.
  • Assigned to me (Tasks only)
    : Tasks that are assigned to the logged in user.
  • Overdue
    : Projects/tasks where the internal due date has passed and the project/task is not yet complete.
  • No due date
    : Projects/tasks that haven't had an internal due date set yet. Use this to identify any projects/tasks that still need to be planned.
  • To plan
    : Projects/tasks that haven't had an internal start date set yet. Use this to identify any projects/tasks that still need to be planned.
  • Missed deadlines (Projects only)
    : Projects where the statutory submission deadline has passed and the project is not yet complete.
The number displayed on each button shows how many projects/tasks currently match that category, giving you a live snapshot of where your workload stands. Select a quick filter button to apply it — the grid will update to show only the matching projects/tasks. You can apply more than 1 quick filter at the same time; for example, selecting both
Overdue
and
No due date
will show projects/tasks that match either category. Select an active filter button again to remove it.
Additionally:
  • Use the
    Search
    field to find items.
  • Use
    Filters
    to narrow the list, for example by dates or assignee.
Apply and clear filters:
  • Once you’ve set your filters, select
    Apply
    to refresh Projects/Tasks.
  • To reset everything, use
    Clear filters
    at the top of the panel.
  • Select
    Cancel
    to close the panel without saving your changes.

Missed deadlines (projects only)

If a project is past its submission deadline and still not complete, the date shows in red in the Submission deadline column, so you can spot it quickly as you scroll.
To view all projects with missed deadlines in 1 view, select the
Missed deadlines
quick filter button at the top of the page.

Inline editing

You can update certain project/task details directly from the grid without needing to open the project/task. The following fields can be edited inline by selecting the dropdown selector in the relevant column:
  • Status (Tasks only)
    : Set or change the status of the task.
  • Complete date
    : Set or change the date on which the project/task was completed.
  • Assigned to
    : Change the person assigned to the project/task.
  • Manager (Projects only)
    : Update the manager responsible for the project.
  • Partner (Projects only)
    : Update the partner responsible for the project.
  • Start date
    : Set or change the internal start date.
  • Due date
    : Set or change the internal due date.
  • Priority
    : Set or change the priority level, for example Urgent or Low.
This is particularly useful when you need to make quick updates across multiple projects/tasks without having to open each 1 individually. Changes take effect immediately and are reflected in the grid straight away.
