Import account details

You can import account details from a Microsoft® Excel® or CSV file (typically, the same file you use to import your trial balance). The import file must meet the following criteria:
  • The account codes must be in Column A and the account descriptions in Column B.
  • Row 1 is assumed to contain the column header and is not imported.
  • Data must be on Sheet 1 of a Microsoft Excel workbook.
  • Account codes must be unique.
Additional notes regarding the import file include:
  • Importing a trial balance file that excludes accounts with zero balances will not work. You must obtain all accounts in the chart of accounts.
  • Additional data (for example, amounts for different entities) in the file are ignored.

If an error occurs during import, edit the import file, save it then repeat the import process.
To import account details:
  1. On the main menu bar, select
    Configuration
    , then
    Chart of Accounts
    .
  2. In the grid, select the
    Name
    link for the chart of accounts you want to import.
  3. Select the import icon in the upper right corner.
  4. Navigate to where the file you want to import is located. Select the file then select
    Open
    to import the file.
  5. Select
    Save
    on the toolbar.

Manually add account details

  1. On the main menu bar, select
    Configuration
    , then
    Chart of Accounts
    .
  2. In the grid, select the
    Name
    link for the chart of accounts you want to add account details for.
  3. In the grid, select the Code field in the 1st row below the grid header then enter an account code.
    tip
    You can copy and paste multiple accounts from an Excel file.
  4. Press the Tab key on your keyboard to move to the Description field, then enter a description for the account code.
  5. Press the Enter key to add the account code and description to the grid.
    note
    Account codes must be unique. If you add a duplicate account code, an error message icon displays in the first column of the row for the duplicate account code. If you don't resolve the error, the duplicate account code is removed when you leave the account details screen.
  6. Repeat steps 3 through 5 for each account code you want to add. Your changes are automatically saved.
