Export or check out clients from Digita Suite
Follow these steps to export clients from Accounts Production, Accounts Production Advanced, Corporation Tax, and Personal, Business and Trust Tax. Currently there is no functionality to export or check out clients from Practice Management and Company Secretarial.
Accounts Production
To check out a client from Accounts Production from either within the client or out of the client:
- SelectFile|Check in/out|Check Out.
- SelectNexton the welcome to the check out mobile data wizard screen.
- Select the client from the pop up screen by ticking the box next to the client (this will automatically tick if you check out within the client)
- SelectNextfrom the “Check out Organisation Data” screen.
- SelectNextfrom the “Select Users” screen.
- Select a file location to save to and thenFinish.
Accounts Production Advanced
To check out a data set from Accounts Production Advanced:
- Ensure all clients are closed in the program.
- SelectFileand thenCheck out Data. This will open the "Welcome to Check out Data Wizard" window.
- SelectNextto display the client list.
- Tick the box next to the client you want to check out and selectNext.
- In the new window, select the ellipsis button next toSave as a single fileto open the "Save Data As" window.
- Choose the directory where the accounts can be found.
- Enter a name in theFile nameand selectSave.
- SelectNextin the new window to start the saving process.
- SelectFinishto complete the process.
- The client in the client list will now appear in grey text with the words "(checked out)" after the name.
Personal, Business and Trust Tax
To transfer a file to another agent or computer, or to send it to Digita Support for amendment:
- From within Personal, Business and Trust Tax, selectFile, thenClose.
- SelectFile,Import/Export,Client Transfer Manager, and thenExport.
- Highlight the client and selectExportagain.
- Save the file.
- Create a password.
- SelectYeswhen prompted to mark the client as exported.

This process will send the file you have chosen to export and all linked files. For example, if a married client is linked to a partnership, the partnership file, the spouse file and the other partners and their spouses files will be included in the exported file, so the file can end up being quite large. This process is required for sending files to other agents/databases, but is optional for sending files to Digita Support.
Corporation Tax
Use one of the following export options after selecting
File
, then Import/Export
:
- Export this Company: Available when a company record is open.
- Export Companies: Available whether a company is open or not. You will need to highlight the relevant company from the list.
You will be prompted to select the location where you want to save the file. This should be somewhere that you can easily remember, as you will need to browse to this same location when uploading the file to the ticket or email. Unless you are sending the file to us to be amended and sent back to you, select
No
to the prompt asking if you wish to mark the file as exported. Please note that both options will extract the company and any companies within the same groups.note
