Engagement progress percentages on the engagement dashboard

You can now check the progress across all open engagements at the same time from the engagement dashboard. Go to the dashboard in the new layout and add columns for any signoff type that you want to track the progress off. You can also add the unsigned column that burns down according to any workpapers without a signoff of any type. The percentage is calculated based on the workpapers signed off divided by the total number of workpapers in the engagement.
If you remove all groupings from the grid, you can sort by these columns to find the engagements with the least or most progress. Use this in combination with the completion or report release dates to help make sure you are going to meet your deadlines.

Screen name and client name are added to the browser title bar

The browser title bar is now more descriptive and will include the client name or client ID number of the currently open client in that browser window or tab. The current screen is also included in the title bar. So, now if you have multiple windows of AdvanceFlow open, you can use the browser tab names or the windows task bar to help you switch to the correct window more efficiently.

The client name is added to the breadcrumb in the new layout

The client name and client ID are now listed just underneath the product header to improve the visibility and help you make sure you are in the correct client at any given moment.

Export documents with formulas converted to static values

If you right-click an Excel document and select
Export
, there is now an option to export as an Excel file with static values. Selecting this option will let you give the Excel document to a 3rd party with the resolved formula amounts intact. Recalculating in one of these documents without AdvanceFlow access will keep the values visible.

The GoFileRoom Add-in is included on the Downloads page

The GoFileRoom Add-in for Microsoft Office is now available from the
Setup
, then
Downloads
page within AdvanceFlow. Installing this program is a requirement for opening office documents stored in the product. This makes the prerequisite application easier to find. It no longer requires a new user to go into the unfamiliar GoFileRoom product.

Roll Forward document requests in Client Communications

If you used the Client Communications feature to request documents from your clients this year, and you'll likely need to request the same documents for next year’s engagement, the requests can be rolled forward from 1 period to the next. The document request will be available and easy to send in the next period.

Save draft requests in Client Communications

If you started working on a document request, but are not ready to send it yet, you can now save that request as a draft to finish later. This prevents you from potentially losing work if you've started to create a request and you need to leave the screen without sending it to the client.

Assign requests to other staff members in Client Communications

A staff assignment field is now added to the requests screen. Assigning a request to another staff member will send any comments or notifications of document uploads to the selected staff member.

Permissions for Client Communications

There are now options to set staff permissions for Client Communications in the permission groups screen. Permissions can be set for create request, edit request, send request, manage contacts, complete request, delete request, send to workpapers, remove document, and view received documents.

Attach documents from the Workpapers tab to requests

When requesting documents from a client, you can attach a form or other document from the
Workpapers
tab in the request. If you have a document on the
Workpapers
tab that helps explain what you need from your client you can include that in the request.

Simplified Confirmation integration

The Confirmation widget on the status dashboard only shows data when an AdvanceFlow engagement is fully linked to a Confirmation client. It used to serve dual functions and populate all confirmation clients for the confirmation user entered in Preferences in the case where the engagement was not fully linked to Confirmation. We removed the Confirmation account field in Preferences to streamline the experience and reduce confusing error messages.

Warnings for changes to Checkpoint Engage documents

If you sign off in the workpapers tree on a Checkpoint Engage document and changes are made to that document after the signoff was completed, a warning will appear in the workpapers tree. This will add confidence that all changes were reviewed by the document signers.

Manage Users screen improvements

These updates for the
Manage users
screen won’t be available until the GoFileRoom release on April 29.
  • When editing an existing user, if the user is exclusively only in a D-Clients security group in GoFileRoom, it is possible to change the user from 1 group to another.
  • Editing a user and selecting
    Save
    will generate a new TR Account if one doesn’t already exist for.
  • You can use the + character in the username field.
  • Administrators can set an account expiration date that disables a user account upon a certain date upon creating an account. This lowers the workload on the administrators because they no longer have to remember to go back and manually disable or delete the account on the staff members planned ending date.
  • Added a loading circle upon selecting
    Create User
    to indicate that the save is in progress.

Add client IDs and names directly in AdvanceFlow

Users that have lookup management permission to the client's drawer in GoFileRoom can now add clients directly in AdvanceFlow. Select the
Add engagement
button and the 1st step that lets you select a client will let you switch to an
Add client
tab and type in the new client ID and client name. This feature is also available in the re-index client information wizard. This new feature will be available upon the GoFileRoom release on April 29.

Workpapers issues resolved

  • Replacing word or text files that were greater than 95 MB properly uploads the files.
  • Using the replace feature to upload a file smaller than 95 MB has improved upload speed.
  • The progress percentage displays in the reference column when replacing a document with a workpaper larger than 100 MB.
  • Documents in GoFileRoom but not yet in AdvanceFlow can be previewed in
    Add Workpaper
    from the GoFileRoom process.
  • After sorting a folder in the
    Engagement Templates
    screen, documents are selected properly and the workpaper properties of documents appear correctly.
  • We've corrected an issue when replacing a placeholder with an account grouping custom Excel document causing all other documents in the screen to show as loading in the reference column of the workpapers tree.
  • When copying a document from an existing engagement, the roll forward treatment will now properly copy from the source engagement.
  • The
    Edit
    button is not available in the preview window if the document is in a checked-out state.
  • Text copied from a plain text application and pasted into a placeholder window now correctly saves.
  • In the United Kingdom, if you send the engagement to PDF and select the option to save to GoFileRoom, the document date will properly display in dd/mm/yyyy format.
  • In the United Kingdom, if you are in the workpaper list view mode and you sign off on a workpaper, the date of the signoff is properly displayed in dd/mm/yyyy format.
  • We've corrected an issue when selecting multiple folders and selecting export to ZIP format.
  • We've corrected an error if you delete a workpaper, and then delete its containing folder separately, and try to restore the workpaper while the containing folder is still in the recycle bin. The document will be restored to the top of the workpapers tree instead of giving an error message.
  • The document preview properly renders form controls such as checkboxes in MS Office documents.
  • When an engagement is re-indexed to a new client name, the history events are no longer updated on events occurring prior to the re-index.
  • The PDF preview of certain SMART Practice Aids documents now render the tables properly removing lots of blank padding space in the preview.
  • Added a clearer error message when attempting to preview an MS Office type file that has password protection.

Trial Balance issues resolved

  • We've corrected an issue when trying to add a tax subcode to the 1st tax code in the list.
  • A tooltip will properly display for the account number column when the column width truncates the text.
  • We've corrected an issue where the JE details switch wouldn’t turn on for newly created engagements.
  • Tab characters that are copied and pasted into the journal entry are automatically removed when saving the journal entry. This prevents an issue running reports when those tab characters were allowed.
  • You can roll forward and then change the year end in the new year for short-year clients. We fixed some errors that prevented the trial balance from loading data and excel documents from calculating formulas.
  • You can change the description of a fund or subfund without a message that the fund already exists.
  • Editing or copying a fund template no longer removes all of the funds.

Notification issues resolved

  • After deleting all or the last notification in the new layout, the screen properly displays the message that there are no notifications instead of a loading circle.
  • We've corrected an issue when the filters for notifications wouldn’t show client filters in the case that the only notifications were from notes type rules.
  • When setting a date filter on notifications, validation was added to help prevent entering an invalid date range.

Other issues resolved

  • Copying or editing an engagement fund template would cause the related categories, types, and funds to disappear.
  • We've corrected an issue when editing the File Storage Groups field when adding a new user.
  • The home dashboard will properly install after restoring an engagement from the recycle bin.
  • Selecting the
    Cancel
    button in the
    Setup
    , then the
    Client Communications
    screen no longer closes the entire browser window.
  • When searching for a client ID or Client name in various screens, selecting the
    X
    button to clear the search field now restores the full list of all clients.
  • Safeguards were added to help prevent “Session expired” messages from appearing when launching from AdvanceFlow into a Checkpoint Engage screen.
  • The field to view or add note details at the bottom of the notes list screen resizes properly when the splitter panel is expanded from a collapsed state.
  • The dates in the new engagement tree in the breadcrumb now display the proper current period end date instead of being 1 day prior.
  • When sorting the new engagement breadcrumb tree by engagement name, upper and lower case letters are treated the same.
  • We've corrected 120 different tax codes for UltraTax CS integration that wouldn’t have integrated correctly. This was corrected on March 26.
  • When trying to make changes on the account grouping or account types tab of the setup/mapping screens, the dropdown menus near the bottom of the screen are functional.
  • The list of clients in the
    Add engagement
    wizard will be more static in size to prevent it from shrinking when the browser window is smaller or when using browser zoom.
  • A requirement was added that the beginning date in engagement properties must be before the ending date.
  • A new version of the ProSystem FX and CaseWare conversion utility is available on the
    Downloads
    page. This new version prevents a message that says, “the remote server returned an error (500) Internal server error” when trying to sign in with certain user names. It also prevents the AdvanceFlow application from opening in the sign-in window after a successful sign into the conversion utility.
