File record types for Data Connection

Header record

The header row is mandatory as the first record in the file, which contains the subject tax return locator code, taxpayer's name (1040), spouse's name (1040), optional identification code for the taxpayer, a file source code created at export, and the replacement flag.
  • The header record for 1040 returns contains 10 data fields.
  • The header record for other return types contains 6 data fields.
important
If a file doesn't contain the correct number of data fields in the header, it won't be listed in the files available to import.
Additional requirements
  • Comma
     Each data field in the header record, except the last data field, must be terminated by a comma. If a data field in a header record is blank, the delimitating comma must be present. A missing comma results in an invalid number of data fields error.
  • Replacement flag
     The last data field in the header record is the replacement flag. This controls which data is erased in the target tax return prior to the import process. If the replacement flag isn't 1 of the 4 accepted values, the file won't be listed in the files available to import.

Data records

Multiple records can follow the header record. Any number of records may be required to fulfill the import task.
Each record contains the form and field name combination defining the tax return value that's the import target or the export source.
Activity, group, subgroup, data group 4, and data group 5 numbers define the various levels of activity and group data.
Export files include a data source code for each record:
  • O = Organizer
  • T = Tax Forms
  • W = Workpapers
Additional requirements
  • Data records have 9 mandatory data fields and 1 optional data field. The ninth and last data record field, the data source code (O, T, or W).
  • Copy numbers, group numbers, subgroup numbers, data group 4 numbers, and data group 5 numbers in data records can't be blank. The value must be zero (0) or greater. If 1 or more of the indices aren't used as part of the data field identification, the unused indices must be zero (0).
  • Each data field in the data record, except the last data field, must be terminated by a comma. If a data field in a data record is blank, the delimiting comma must be present. A missing comma will result in an invalid number of data fields in the data record. Depending upon which of the data record fields is deemed to be missing, the data record may be ignored by the import process.
  • Every data record must be terminated by a carriage-return/line feed pair. If the last record in an import file isn't so terminated, the data field value in the last data record won't be imported.
