Work with Invoices - Create Submanufacturer Export Invoice

To create a Submanufacturer Export Invoice, open the
Work With Invoices
screen and click
New Invoice
.

Invoice Information (Información de Factura)

Clicking
New Invoice
will open the
Edit Invoice
pop-up. Click
Export
on the
Invoice Category
and click on the
Invoice Type
drop-down to select
Submanufactura
(Submanufacturer) from the list .
The pop-up will then refresh to show more fields relevant to a Submanufacturer Export Invoice. Complete the other fields as listed below. Any field listed with an asterisk (*) is mandatory and cannot be left blank.
Fields
Description
Invoice Number*
Enter an Invoice Number for the new Submanufacturer Export Invoice.
Invoice Date
  • Invoice Date
    :
    Enter the Invoice Date.
  • Notice Number
    :
    From this drop-down, select the Transfer Notice to be included on the invoice. These options come from the
    Transfer Notice
    screen.
Shipping Parties
  • Ship From*
    :
    Enter the name of the company that is transferring the goods listed on the invoice.
  • Ship To*
    :
    Enter the name of the company that will receive the goods listed on the invoice.
Invoice Comments
  • MX Comments
    :
    Enter any comments you want to appear on the invoice.
Location
  • Customs Location
    :
    From this drop-down, select the Customs office of departure. This field is optional and is only required if the
    Transfer Type
    for this record is “4” (transfer to an exit Customs office).
After all information has been submitted, click
Create Invoice
.

Product Data (Información de Producto)

The system will then create the invoice, refresh, and generate a second tab (Product Data). This is where you will add product information to the invoice.
To add product information to the invoice.
  1. Click Insert.
  2. Clicking
    Insert
    will open the
    Insert New Invoice Transaction
    pop-up.
  3. Complete the following fields as described in the table below and then click
    Save
    .
Fields
Description
ProductNum (Product Number)
Enter the Product Number to be included in the invoice. This field has type-ahead capabilities, making it quick and easy to find specific Product Numbers.
TxnQty (Transaction Quantity)
Enter the Transaction Quantity to be included in the invoice. There must be an available balance for the selected product in the system. Otherwise, the system will not be able to release the amount of products requested on the invoice.
TxnQtyUOM (Transaction Quantity Unit of Measure)
Enter the Unit of Measure applied to the Transaction Quantity.
Products will appear in the order they were added to the product grid, newer entries will be numbered in the
SequenceNum
column. You can rearrange products by dragging and dropping them to a different order, tailoring the sequence to your needs. This order will also be maintained when generating a COVE report or sending COVE to Unique Window.

Validate the Invoice

To validate one or more invoices.
  1. Choose the invoice(s) to be validated from the
    Work With Invoices
    screen and click the corresponding box(es) on the far left. Selected invoices will highlight in another color.
  2. Once all invoices to be validated have been selected, click
    Process & Prevalidate Invoices
    .
If everything is successful, the below message will appear on the screen:
When working with Submanufacturing processes, no COVE process is required. If a Submanufacturing Export Invoice prevalidates without any issues, the Invoice Status will change to
Pending Close
.
Editing an Invoice that Failed Validation
If an invoice fails validation, an error message will appear on the screen. The font will also change to red and the Invoice Status will show as
Prevalidation Failed
. This tends to happen most frequently when the system cannot find an available balance to be transferred to the Submanufacturer listed on the Submanufacturer Export Invoice.
Should this occur; scroll to the far left of the grid, determine which invoice needs to be updated, and click
Edit
. Make any necessary changes, save, and re-validate the invoice.

Closing a Submanufacturer Export Invoice

After an invoice has been successfully pre-validated, it can be closed and returned to the
Transfer Notice
screen.
To close one or more invoices.
  1. Open the
    Work With Invoices
    screen and scroll to the far left of the grid.
  2. Determine which invoice(s) need to be closed and check the corresponding box(es).
  3. Once all invoices to be closed have been selected, click
    Close Invoices
    will open the
    Close Invoices
    pop-up.
All invoices matching the criteria you specified will appear in the upper grid. To select an invoice for closing, click on the invoice’s corresponding magnifying glass icon on the far left.
All the selected invoice’s information will then populate in the lower grid, as shown below:
In the lower grid, determine which invoice(s) should be closed and check the corresponding box(es). After all invoices to be closed have been selected, click
Close Selected Invoices
. This button will only appear after one or more invoices have been selected in the lower grid.
A confirmation pop-up will appear on the screen. Click
OK
to continue or
Cancel
to drop all changes.
If
OK
is selected, the system will close all selected invoices. Once this process is complete, the system message (shown below) will appear on the screen:
