Add accounts to the chart of accounts

If you only have an Accounting CS Payroll license, not all of these options are available in the Chart of Accounts.
  1. Select
    Setup
    then
    Chart of Accounts
    .
  2. Select
    Add
    .
  3. Go to
    Account number
    and enter a unique account number that conforms to the mask as it was set up at
    Setup
    Clients
    Account Mask tab
    (it also shows on the
    Chart of Accounts
    screen).
    note
    If the core segment has a decimal, you'll need to enter it. The application doesn't automatically add it for you.
  4. Go to
    Description
    and enter a description of the account.
    note
    You can mark the
    Inactive
    checkbox to make the selected account inactive. Inactive accounts are filtered from all account dropdowns throughout the application, so they're not available for selection. To include inactive accounts in the Accounts list frame in the
    Chart of Accounts
    screen, mark the
    Include inactive
    checkbox in the upper-right corner of the screen.
  5. Verify the account type. The application automatically shows the type of the account by the classification code you chose.
  6. Select the
    Classification code
    for the account (required).
  7. Select the
    Classification subcode
    for the account (optional).

    The options for classification codes and subcodes are what you set up on the Account Groupings screen.
  8. Mark the
    Restrict from Client Access
    checkbox if you don't want the client staff to use this account in any of their general ledger accounts.
    note
    This field is available only when the Client Access service is turned on for the client.
  9. Select a
    Tax code
    and an
    M-3 code
    for the account.
    note
    If you assigned codes and subcodes to the account groupings in the
    Standard Account Mappings
    screen, the codes and subcodes are automatically entered in these fields.
  10. Go to the Account Groupings section and select the code and subcode for each account grouping.

  11. Select
    Enter
    to save the new account.

If you try to use an account that doesn't exist (for example, when you're entering transactions), you can add one at that time. You'll be prompted to add a new account and, if you choose to do so, the Chart of Accounts screen opens so you can add the account.
