Use divisions in the Trial Balance

Engagement Manager lets you use divisions to refine trial balance views and for reporting purposes. For example, you could create divisions for locations, departments, projects, cost centers, etc. Some users also use a divisional account structure for their governmental and non-profit clients that have funds instead of using the fund account structure.
  • Add an engagement as a divisional engagement - Select Divisional in the Structure field as you step through the engagement setup. This will set up the engagement with a divisional account structure.
  • Change the account structure of an existing engagement - If you have a client that was set up with an account structure of None or Fund, you could change the structure to Divisional.
    Before you change the account structure for any engagement, make sure you understand the consequences if your workpapers are already linked. You may need to relink them to the divisional trial balance.

Define the divisions

  • Define the divisions - After you designate an engagement as a divisional engagement, you can define the divisions. Engagement Manager won’t force your chart of accounts to match this mask. However, all of your accounts must match this mask exactly for you to take advantage of Engagement Manager’s divisional features.
    For example, if your client provides a trial balance with account numbers that have fewer characters than the mask, you will need to add characters (such as zeros) to use this structure the way it was intended.
  • Set up trial balance views with divisional engagements - You can set up trial balance views with divisional engagements to display divisions on separate tabs in the Trial Balance workspace, if desired.
    You can set up the trial balance to round at the summary level or the divisional level.
  • Use divisions with leadsheets - You can use divisions to set up Leadsheets by adding a workpaper and selecting the Custom Excel (recommended) option in the Source field.
  • Create a trial balance report with divisions - Create a Trial Balance report using the divisions by selecting Trial Balance - Divisional from the Create Report button in the ribbon.
  • Link a divisional engagement for reporting and financial statement purposes - Link a divisional engagement in Word and Excel by selecting the Engagement Link link button on the Engagement Manager tab. This will let you use the divisions and 1 additional filter, if desired.
