General

Enhanced performance and responsiveness
We optimized key areas of the GoFileRoom application to boost speed and deliver a smoother experience. Notable enhancements include:
  • Reduced time required for adding new users or modifying existing ones. This addresses the wait message often displayed.
  • Enhanced responsiveness when updating columns through the
    Document Search Preferences
    .
  • Faster response times when opening the Home Screen's
    My Recent Documents
    .
  • Improved browser load times in FirmFlow when accessing clients with a large number of workflows.
Administration and records manager
We refined administrative tasks to ensure they are carried out smoothly and accurately:
  • Recycle and policy management: We improved the approval process to ensure that only active administrators and record managers appear on the approvers list.
  • Manage Users & Groups
    - screen refresh: We fixed a user interface refresh issue where the Group name didn’t update properly after changes were made or when selecting another group from the dropdown menu.
  • Resolved an issue where this false error message appeared when adding a new user to the interface:
    This login already exists
  • Groups
    , user document security: We addressed a user interface refresh issue where the
    User Document Security
    screen didn’t update correctly to reflect the selected user in the list.
  • Resolved an issue where, under specific conditions, attempting to make changes to
    User service accounts
    resulted in an error message:
    Invalid value entered, please enter a value between 1 and 999.
  • The displayed number of user licenses consumed by active users was not accurately accounted for in situations where new Users were created by way of an API. The counts are now accurate and true to the active users using the application.
  • Policy management: We corrected an issue in Policy Management to ensure that records manager approvers receive notification emails when attempting to modify or delete existing policies.
  • Active and inactive users: We resolved an issue with the UI display refresh, where the list didn't update correctly to reflect status changes after marking or clearing the
    Disable user
    checkbox. Now, the list refreshes accurately to show these changes.
Default user preferences
For new users added to GoFileRoom, the default landing page will be set to
Document Search
. This change encourages standardization within your team, simplifies onboarding of new staff, and promotes greater use of the newer modernized
Document Search
as the
Classic Search
screen is decommissioned. This change doesn’t impact previously configured or existing user preferences.
Print UltraTax CS client organizers to GoFileRoom
With the February 20, 2025 release of UltraTax CS, we enhanced the printing of client organizers to GoFileRoom (or Onvio Documents). Previously, organizers could include tax forms instead of the expected organizer pages.
Print from Accounting CS to GoFileRoom
We enhanced the validation process for GoFileRoom's indexes, including Client Name and Client Number, in Accounting CS to ensure proper display and prevent the use of invalid indexes. If your firm is licensed for both GoFileRoom and Accounting CS, you can print documents like checks, invoices, and financial statements directly to GoFileRoom without any issues.
Microsoft Outlook and Virtual Office CS integration
We resolved an issue evident when attaching documents (Email Documents Using Outlook - Native) when accessing GoFileRoom from the Virtual Office CS platform. This is now working as expected after a recent Virtual Office CS update.

  • Email document link with Microsoft Outlook: We addressed an issue when attempting to right-click, then select
    Email Documents Using Outlook – Link
    . Previously, the recipient may have experienced a blank screen when selecting the link generated by GoFileRoom.
  • Both the
    Copy Hyperlink to Clipboard
    and
    Email Document using Outlook – Link
    features resulted in the recipient losing access to the GoFileRoom menu bar and with no options available to get it back. This update addresses this issue and lets the user continue operating in the application.
Export documents alerts and notifications
We addressed an issue that prevented alerts and notices from triggering during document exports. You can now be confident that you'll receive timely notifications.
Export documents
  • We fixed an issue in the
    Home
    ,
    My Recent Documents
    area where selecting the
    Export
    button multiple times caused an error message:
    There are no documents available.
    This issue is now resolved.
  • When selecting a collection of documents to
    Export
    in the
    Document Search
    screen, it was possible that the ZIP file generated didn’t contain a complete list of all selections made. We identified and resolved this issue assuring that when multiple documents are exported, you always get the exact number of items.
View documents
  • You may have noticed that when adding annotations, comments, and other edits in preview mode, the
    Comments
    sidebar could generate duplicate entries and the number of comments compounded as additional edits were performed. This feature is now working as expected.
  • It is possible to delete existing annotations.
  • In certain conditions, the page number displayed on Microsoft Word documents was incorrect when reviewing in the View mode. Inserting Word page number variables now accurately match GoFileRoom’s View mode.
Manage documents
  • It is now possible to delete up to 100 documents in
    Document Search
    . We discovered and corrected an issue that prevented more than 21 documents from being deleted from the
    Document Search
    , both the
    Index Search
    and
    Document Explorer
    tabs exhibited this behavior.

FirmFlow

Routing history
We made helpful changes to the FirmFlow
Routing History
display to be more intuitive. Previously, when a task was reassigned or delegated by an administrator of your firm, the history grid inaccurately showed the reassignment step with the person who reassigns it as the
Assigned To
, then onward to the next person. An added
Informational Record
populated the
Assigned By
column with the
User/Group
name from the previous step, even though this person didn’t perform any action and may have never moved the routing.
Route FirmFlow workflow to completed
In-progress workflows now visibly populate the correct party responsible when routed. The
Assigned To Person
or
Group
is pre-populated as expected when routing to the
Completed
step.
Optimized bulk import of FirmFlow folders
In December of 2024, we implemented several enhancements to streamline the management of large bulk import files, improving efficiency significantly. With faster processing times and the removal of the dependency on a nightly processing service, all records are now imported within 1-2 hours. This lets you access new folders, FirmFlow folders, and workflows on the same day, or address any failed records and re-import them if needed.
Notification emails will confirm a successful import or provide a detailed list of errors in an attached spreadsheet. Error details are located in the last column titled
Error Message
, enabling quick error resolution and re-uploading if necessary.
Based on your feedback, we have further enhanced the bulk import process with the following improvements:
  • Better error explanation: Validation reports now displaying the error message alongside the field with invalid data, improving clarity from previous messages like:
    No Responsibility user or group found, Invalid User/Group for Workflow Step.
  • Resolved the following import error message:
    Please provide a valid service type.
  • PIC field handling: The PIC field can now be intentionally left blank during import without removing existing content, preserving data integrity.
  • Non-client drawer import issue: We've resolved an issue preventing bulk imports on
    Non-Client
    drawers.
  • Assigned By
    field update: Workflows created through bulk import now correctly update the
    Assigned By
    field to match the application's display.
  • Information fields: The workflow’s
    Information
    tab and respective fields are now updated as expected.
  • Report loading issue: An issue causing the
    Bulk Import Template
    by Workflow report to display blank has been fixed.
Multi-document export applied to FirmFlow
We've added the ability to export multiple documents with a FirmFlow Workflow. This feature works similar to the
Export
option in
Search Documents
. Simply select the files desired to export, right-click or select
Options
, then select
Export
.

Client Center

We corrected an error message displayed when attempting to delete a Client Center portal user. The functionality and the Onvio Client Center portal remain functional for other Thomson Reuters product integrations.

API’s and Automation

New GoFileRoom FirmFlow endpoints:
  • A GoFileRoom FirmFlow endpoint was created that provides the ability to get the routing history of multiple workflows at the same time - v1/workflow/RoutingHistoryByFilingIds
  • Two new GoFileRoom endpoints were created to better administer multiple users and groups at once
    • v1/administration/group/users – Add single or multiple users to a group
    • v1/administration/group/removeusers – Remove single or multiple users from a group
Enhancements and cleanup:
  • v3/firmflowreports/TrackingReportByWorkflow
    • Will now accept single values for DaysAtStep, TotalDaysAtStep, DaysBetweenRoutings, and TotalDaysInProcess
    • priorFilingId has been added to the response body
  • v2/Route
    Resolved an issue where routing was impacting multiple steps instead of a single step
  • V1/documents
    Resolved an issue that allowed documents to be uploaded when the Client Name was not associated with the client number
