Law Firm Matter Budgets | Multiple Firms

When multiple firms are working on a matter, companies can require that only the lead firm, or alternatively, that all firms must submit budgets. When viewing budgets for multi-firm matters, companies can view each budget individually or the entire matter budget in aggregate.

Require budgets from multiple firms

Budget requirements are set in the Matter Options page. There, companies can require budgets from the lead law firm only or from all firms. However, any firms or vendors with billing access only cannot be required to submit budgets.

  2. Click the matter for which you want to require budgets.
  3. Click
    Edit Matter Options
    .
  4. Under
    Law Firm Matter Budget Options
    , select whether the lead firm only or all firms and vendors are required to submit budgets.
  5. On the toolbar, select
    Save & close
    .

Some firms are not required to submit budgets. A company system administrator can configure a firm's profile so that the firm is never required to submit budgets. If you attempt to require budgets from such a firm, Tracker displays an error message, and either the requirement must be changed in Matter Options or a company system administrator must alter the firm's profile.

Viewing budgets in multi-firm matters

For matters that have multiple firms, you can view the total budget amount for the matter (the aggregate of all firm budgets), or you can view each individual firm's budget. Budgets can be viewed from the Budget Profile page, which can be accessed by opening the matter then clicking
Budget
.

Locking Matter Budgets

When a budget is locked, it cannot be edited.
Required role | Only a company matter editor can lock a budget.
  1. Open the matter.
  2. Click
    Budget
    .
  3. Click view next to the budget you want to lock.
  4. Click the three small dots icon in the upper-right corner, then select
    Lock Budget
    .

Locked budgets can conflict with required fiscal year budgets.
If the budget format is fiscal year, the budget is required of the law firm, and you lock the budget, Tracker does not permit the law firm to provide a new fiscal-year budget when it becomes due. Consequently, the law firm will receive a notice that the next fiscal-year budget is due but will not be able to enter the next fiscal year budget and therefore will not be able to post an invoice. Tracker will be changing this feature in the future to simplify the interaction of the locked feature with required monthly-fiscal year budgets
