Set Up Internal Time Entry

Internal Time Entry is a standard module in Tracker that is offered at no additional charge. To enable the module, contact your Client Success Manager or Tracker Support.

The internal time entry module must be activated for your organization before you can customize the module.

Configure internal time entry system settings

    Require internal time entry
    This setting states how often time sheets are required. It can only be changed by a Tracker Database Administrator and was set when your Tracker Coordinator requested that the internal time entry module be activated. If you have questions regarding this setting, contact your Tracker Coordinator.
    Dashboard alert day
    This setting specifies when timekeepers receive an alert notifying them that timesheets are due. For example, for weekly timesheets, the alert can appear on Monday, Thursday, or Friday.
    Send eMail notice of overdue time sheets on
    This setting determines when Tracker will send email notices that timesheets are overdue. For example, for weekly timesheets, a reminder email can be sent on any day of the week or the second week following the due date.
    Default Annual Employee Cost
    This setting specifies the standard employee cost for members of the legal team.
    Time entry instructions file
    If your organization has a custom document to explain your time entry procedures, you can upload it here. Click the Browse button and follow your browser's instructions to locate the file.

Next Steps

Next, you must configure the setting to require internal time entry for individual users. This setting is configured in the user's administrative profile in the
Time Entry
area.
The final step in configuring Tracker for internal time entry is to create one or more administrative or "time-entry only" matters. Administrative matters are used by timekeepers to record time that was spent on matters or tasks outside of Tracker. A matter is designated as being for time entry only on the first page of the new matter creation wizard. Once the time-entry only matter is created, the timekeepers must be added as participants.

Each timekeeper needs to be invited to at least one Time-entry only matter. If timekeepers are providing their time as a percentage, they will always need to allocate 100% of their time in the form provided. For this reason, Tracker Coordinators should invite each timekeeper to one or more Time-entry only matters. These special matters allow timekeepers to record the time that was spent on matters and tasks outside of Tracker.
