Viewing or Editing a Firm Office

Firms are responsible for maintaining their firm office details. However, company system administrators can edit the company information associated with a firm office, such as office vendor numbers, notes, and invoice currencies//formats allowed, in a firm office profile.

A system role of Firm System Administrator is required to edit a firm office profile.

Edit a firm office

To edit a firm office:
  1. Select
    Firms > Our firms
    in the left navigation..
  2. Find the firm you want to edit in the list.
  3. In the
    Participating Offices
    column, click the firm office name that you want to edit. You may need to expand a firm’s office list to
    Show All Offices.
  4. From the toolbar, click
    Edit office profile
    .
  5. Update available editable fields as needed.
  6. On the toolbar, select
    Save & close
    .

You should never find a duplicate firm in your list of firms. The only exception is if you had originally created a memo firm, and then added the same firm as a live firm from the Tracker Worldwide Directory of Firms.

Setting Currency Requirements at the Office Profile Level

  1. Select
    Firms
    >
    Our firms
    in the left navigation.
  2. In the list, click the name of the firm that you want to view.
  3. Select the
    Offices
    tab to view a list of the firm’s offices.
  4. Select the hyperlinked name of the office that you want to view or edit.
  5. Select
    Edit office profile
    on the toolbar.
  6. In the
    [Company name
    ] Information About Firm collapsible section, use the drop-down lists to specify the options to use.
    • Invoice Currencies Allowed
      This option determines the currencies that your company lets its firms and firm offices select when they post invoices in Tracker.
      • All Currencies Allowed. This is the default setting. Firms can submit invoices in any supported Tracker currency.
      • Specific Currencies. Click
        Select
        and check the box in the Invoice Currencies Allowed list for each currency the company will accept on posted invoices. Click
        Save
        to save your changes. To remove a selected currency from the currencies allowed, uncheck the box in the Selected Items list.
      Considerations
      • These settings apply only to firm invoices, not to company live or memo invoices.
      • If firms post invoices by any method in a disallowed currency, an invoice submission error occurs.
      • Only allowed currencies can be selected for LEDES Generator and Other File Upload.
    • Invoice Formats Allowed
      This option determines the invoice formats that a company accepts from its firms and firm offices.
      • All Invoice Formats
        . Accept any invoice format that Tracker supports, for example LEDES, PDF, or paper.
      • LEDES Only
        . If you use this setting, firms can submit only LEDES invoices. In the list to the right, use the drop-down to specify the LEDES format.
      Considerations
      • LEDES invoices are essential for leveraging some of Tracker's highest-value features, including new timekeeper audits, timekeeper rate audits, line item audits, task code alerts, timekeeper classification analysis, and more.
      • Other File Upload is disabled if this is set to LEDES Only.
      • If firms submit invoices in a disallowed format, an invoice submission error occurs.
  7. On the toolbar, select
    Save & close
    .
