Change the Lead Firm and Lead Outside Counsel for a Matter

Change the Lead Outside Counsel

Required role | Only Company System Administrators and company or law firm matter administrators can change the lead outside counsel.
Security note Changing the lead outside counsel does not block access to the prior lead outside counsel. When a new Lead Outside Counsel is selected for a matter, the prior Lead Outside Counsel is not automatically removed from the matter.
  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Access the profile for the matter.
  3. On the toolbar, click
    Edit
    .
  4. Under
    Law Firm Information
    , for Lead Outside Counsel, click
    Remove
    ,
  5. click
    Select
    , and then select the appropriate law firm user from the list. If the Lead Outside Counsel field is not shown, change the Internal-External setting of the matter.
  6. On the toolbar, select
    Save & close
    . If this person is not already a participant in the matter, this user (and his or her delegates) will automatically be given access to the matter as a matter administrator, and will be sent a new matter email.

Change the Lead Firm

  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Locate and select the matter and be sure
    Profile
    is active.
  3. On the toolbar, click
    Edit
    .
  4. The
    Law Firm Information
    section normally displays fields for the
    Lead Firm
    and
    Lead Outside Counsel
    .
    • If these fields are not shown, then you need to change the Internal-External setting so that there is a lead firm for the matter.
    • If only the
      Lead Firm
      is shown in a drop down list (there is no
      Lead Outside Counsel
      field), select the firm in the drop down list. (The Lead Outside Counsel does not appear because the matter was set up so the lead firm is offline. If you want to make the firm live in the matter, you need to change the Internal-External setting so that there is a live lead firm is live.)
    • If the matter profile shows both a lead firm and a lead outside counsel, click
      Select
      next to the
      Lead Outside Counsel
      field. You will be presented with a dialog box to find the user you want to select. If the user is not listed, contact your Tracker Coordinator (whose name is listed at the bottom of every page) to have the user created. Once you select the lead outside counsel, the lead firm will automatically be populated.
  5. On the toolbar, select
    Save & close
    . If you also changed the lead outside counsel, this user (and his or her delegates) will automatically be given access to the matter as a matter administrator, and will be sent a new matter email.

Change the Internal-External setting so that there is NO lead firm

Required role | Only matter administrators can change this matter setting.
  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Access the applicable matter, and be sure you are in the profile.
  3. On the toolbar, click
    Edit Options.
  4. Change the
    Firm Access
    setting so that you have selected the option for
    Multiple firms with no coordinating counsel
    (or change the matter so that it is an internal matter with no firms having access).
  5. On the toolbar, select
    Save & close
    .
When you change this setting you will be given a confirmation window and notice that some of the data in the matter profile fields may change.

Change the Lead Outside Counsel in multiple matters

Required role| Only Company System Administrators and office administrators can bulk edit matter profiles. Office administrators can edit only those matters they have access to.
You can change the lead outside counsel in multiple matters by using the Bulk Update tool in the Matters sub-menu. For more information, see Bulk Update Matter Data.

Retain the Lead Outside Counsel for a matter when that counsel moves to another firm

In the rare situation where the Lead Outside Counsel changes firms and you want to retain the attorney with the new firm, that attorney must obtain a new user ID from the new firm. You will have to manually reassign the matters to the attorney's new user ID.
