Viewing the List of Users with Matter Access

To view the list of users who can access a matter, click
Participants
in the matter. Note that the default view only shows those users who are direct participants and delegates of direct participants. Therefore, if a user has access to a matter, then they can see all public data, such as notes, documents, etc. that are marked All Matter Participants. However, there may be certain private matter profile fields that firm users cannot view, as well as notes, dates/events, status reports, and documents that have been designated as "Company Matter Participants Only."
The matter participants page also shows any firms/vendors who have been given billing only access and therefore cannot see any matter data. As an example, a user that is listed as a billing only participant can only post invoices and will not be able to view matter data.

Using the Filter Menu to simplify your view of users

You can use the drop-down lists to change how the list of users is displayed.
  • To view only express matter participants and delegates, select
    Participants/Delegates Only
    , in the drop-down list, then click
    Change View
    .
  • To view all users who can access the matter (users who have been expressly added to the matter and users who have special organizational unit or practice group access), select
    All Who Have Access
    in the drop-down list, then click
    Change View.
  • To view the user list organized by users and their delegates, select
    Group by Delegator
    in the second drop-down list and click
    Change View
    . This will show each delegate immediately below his or her delegator. An icon next to a user’s name indicates that this user is a delegate.
  • To view the list of users alphabetically, change the second drop-down list to
    Group by User
    , then click
    Change View
    . This view shows you whether a user has been added to a matter more than once. For example, if a user has been added to a matter as a matter participant, and also has access to a matter by virtue of being a delegate to another matter participant, the user's name appears twice, both as a matter participant and as a delegate.

Viewing how the user was granted access

The matter participants page will indicate how each user has been granted to the matter (i.e. whether the user is an express participant, a delegate, or has access by virtue of implicit organizational unit or practice group access). The legend at the top of the page shows the symbols that indicate each type of access:
  • If the user does not have a marker to the left of his or her name, they are an express participant.
  • If the user has a gray head and shoulder icon next to his or her name, they have access by being a delegate of a user who was given express access.
  • If the user has an orange head and shoulder icon next to his or her name, they have access by special Organizational Unit and/or Practice Group access, which can only be granted by a company system administrator.
