Bulk Updating Matter Data

The bulk update feature lets you quickly edit the matter profile and matter options of multiple matters at once. For example, you can use bulk updating to account for procedural or personnel changes, such as changing the invoice approval route or the lead company person for all open matters, or you could update several matters to use a specific set of UTBMS billing guidelines.

Required role:
Only Company System Administrators and Office System Administrators can bulk update matter profiles or use bulk update to close matters, and must also have access to all of those matters.
tip
Before completing a bulk update, we recommend that you print a list of the records you're going to update so that you have a record of original matter values.
To bulk update matter data:
  1. Click
    Matters
    >
    Bulk Update
    in the left navigation.
  2. In section
    Step 1: Select the matters to update
    , use the filters to find the matters you want to edit. You can also use the Search by word or phrase dropdown to find specific matters.
  3. In section
    Step 2: Select a field to update
    , use the dropdown to choose the field you want to bulk update. Depending on which field you choose in the dropdown, you may be prompted to further narrow the selection. For example, if you choose
    Contracts - Person Responsible
    , you are prompted to select the actual user that will be changed.
  4. Under
    Step 3: Generate list
    , click
    Generate list
    . The Matter List Search Results list shows the matters that meet your filter criteria.
  5. In the area immediately above the list of matters, use the dropdown to enter or select the new information to be added to the matters.
  6. Check the checkbox next to the matters to be updated with this new information.
    We recommend that you print the page to ensure that you have a record of the original matter values. On the toolbar, click the three small dots and click
    Print
    .
  7. On the toolbar, click
    Save
    to begin the update to your matters. Tracker displays job-related information and confirmation once the update completes.
Closing Matters with Bulk Update
You can use bulk update to quickly close multiple matters.
  1. Select
    Matters > Bulk Update
    in the left navigation.
  2. In the
    Step 1
    section, use the fields to filter for the matters you want to close.
  3. Under
    Step 2
    , use the field list to select
    Closing Matter Information
    .
  4. Next to
    Matter Type (Template)
    click
    Select
    and select the matter type template from the new page that opens.
  5. Under
    Step 3
    , click
    Generate List
    . The list displays all the matters that meet your filter criteria.
  6. In the field above the list of matters, use the fields to specify information to be updated.
  7. Select the matters to be closed.
  8. On the toolbar, click
    Save & Update
    .
Using Bulk Update to change the task code requirements
Required role
| Only a Company System Adminsitrator or Office System Administrator can use Bulk Update for matter profiles, and the administrator must also have access to all of the matters to be updated.
You can change all or some of the task code requirements for your existing matters by using Bulk Update.
  1. Click
    Matters > Bulk Update
    in the left navigation.
  2. In section
    Step 1: Select the matters to update
    , use the fields to filter for the matters you want to edit.
  3. In section
    Step 2: Select a field to update
    , in the
    Field
    list, select
    Matter Options - Required Task Codes
    .
  4. In section
    Step 3: Generate List
    , selects
    Generate List
    .The Matter List Search Results list displays all the matters that meet your filter criteria.
  5. In the
    Matter Options - Required Task Codes
    section, select the appropriate task code options:
    • No Change
      : Maintain the previous setting (Required or Not Required) for the selected matters.
    • Required
      : Require task codes in this category for the selected matters.
    • Not Required
      : Clear the requirement for task codes in this category for the selected matters.
  6. Select the matters to be updated. Printing is recommended to ensure that you have a record of the original matter values.
  7. From the toolbar, click the three small dots icon, then select
    Print
    , then select
    Save
    .
Bulk Updating Billed to Entities
You can use the Bulk Update feature to add billed to entities to matters.
  1. Click
    Matters > Bulk Update
    in the left navigation.
  2. Under
    Step 1: Select the matters to update
    , locate the matters you want to update:
    • Under
      Which of My Matters
      , click a button to specify whether you want to update all company matter, only your matters, or only matters for which you are lead.
    • Under
      Matter Status
      , check a box to select only currently open matters or only currently closed matters.
    • Under
      Internal
      or
      External Matters
      , check a button to indicate whether you want to update all matters, only external matters, or only internal matters.
  3. Use the fields in the
    Standard Filters
    section to narrow down your search, or the
    Search by word or phrase
    drop-down list to search for a particular field.
  4. Click
    Generate List
    . The list of matters is returned.
  5. On the toolbar, click
    Print
    .
  6. Next to
    Change Billed To Entity
    , select the new Billed To Entity, and then check the boxes next to the matters for which you want to upload the new information. If you want to update all matters in the list, then check the box at the top next to
    Matter Name & Details
    .
  7. Click
    Save
    to update.
Bulk Edit Email Recipient Data for Dates and Events
Required Role
| Only a company system administrator or company office administrator can bulk edit matter profiles.
These recipient fields can be bulk edited for a date or event:
  • Person Responsible
  • Other User to Receive Email Notice.
  • Other Email Addresses to Receive Email Notice.
