Setting Up Pre-configured Task Code Alerts

Pre-configured task code alerts are used to:
  • Facilitate tracking and analysis by task code.
  • Streamline workflows for assigning task code-based spending limits to firms.
  • Limit and audit spend by task codes as a way of creating alternative fee arrangements.
Companies can set spending limits at the task code set, phase, and task code levels, and Tracker shows running totals of spending in comparison to those limits. If the law firm submits an invoice that is over the spending limit, a task code alert is triggered.
Add a task code alert
  1. Select
    Settings
    in the left navigation.
  2. Under
    eBilling & Financial Setup
    , click
    Pre-configured Task Code Alerts
    .
  3. On the toolbar menu, click
    Add
    .
  4. Complete the necessary fields.
    Field Reference
    Budget Type
    Phases
    Active
    Select this check box to activate the task code alert.
    Name
    Type a name to identify the task code alert. Enter up to 50 characters.
    Description
    Type a description for the task code alert. Enter up to 5000 characters.
    Task code alert options
    • Pre-acknowledged by firms
      . Bypass the acknowledgment workflow.
    • Lock Amounts
      . Lock the task code amounts.
    • Taxes Included in Amounts
      . Amounts evaluated for alert triggers are tax inclusive.
    Timekeeper Audits
    • Enabled
      (default). Normal timekeeper auditing.
    • Disabled
      . Disable timekeeper audits for all matter costs.
    • Disabled for Per Line Cost Item
      . Disabled when task codes alerts are entered on a cost per instance (per Line) basis.
    Pre-configured Alert Levels
    • Zero All Empty
      . Enter amounts, and then click this to set empty amounts to 0.
    • Empty All
      . Clear all task codes amounts in the Task code alerts section.
    Task code alerts
    Select the check box next to the matter type the alerts will apply to. A new field appears that lets you provide amounts to audit. These can be set by task code amounts, total amounts, or count/cost per unit (task code can be used no more than the specified number of times in the matter lifetime).
  5. On the toolbar, select
    Save & close
    .
Activate or Deactivating All Pre-Configured Task Code Alerts
  1. Select
    Settings
    in the left navigation.
  2. In the
    eBilling & Financial Setup
    section, select
    Pre-configured Task Code Alerts
    .
  3. On the toolbar, select
    Activate All
    to activate all task code alerts, or
    Deactivate All
    to deactivate them.
