Search for information

This topic describes how to search for information in Tracker using quick search and advanced search. Advanced search lets you search specific fields for matter data, invoices, dates/events and users. Law firm users are not allowed to search for or view a list of other firms and vendors. Enhanced Document Searching can be performed using quick search and advanced search.

Search basics

Regardless of the type of search you perform, you can only search for data to which you have access.
  • When searching for invoice data, the invoices for matters you have access to are returned.
  • When searching for invoice data, the invoices you have access to are returned. You can have access to invoices because of a billing only or higher matter role or because your system role permits billing access.
  • When searching for firm or user data, you cannot search for other firms or other firm users. Searching for company users is limited to the company users that are direct matter participants in the matters in which the you have access. For example, a firm user who only posts invoices and does not have access to any matter details is unable to find and display any company users.
For almost all searches, the system searches to see if the search criteria you entered is contained within the data that is searched.
  • A firm user performs a quick search for "45". A matter has a matter ID of 200500045. The matter is returned because "45" is contained within the matter ID. In this situation, the system returns exact (not close) matches.
You cannot use wildcard characters (such as *), boolean operators (such as AND, OR or NOR) or other search tricks to search for information.
Law firm users cannot search for or view a list of other firms and vendors.

Quick search

Quick Search is located in the upper-right corner of Tracker. To use Quick Search, click the box and enter a search term.
Tracker displays a menu that lets you limit your search by category:
For example, you would select Matters if you want Tracker to search for all matters with "Acme" in the long or short matter name. A company user could choose Firm to limit the search to firm with Acme in the name.
Search for users with quick search
To search for users using quick search:
  1. Go to
    Users > User list
    . The list of users displays.
  2. Enter the user's name in the
    Quick Search
    box.
  3. Select the name of the user in Users. For example, to search for John Smith, you enter Smith in the Quick Search box then select the following:
The following limitations apply to firm user searches for users:
  • If a law firm user searches for company users, the system will only display those company users who are direct matter participants in the searching user's matters. Thus, for those firm users who only post invoices and do not have access to any matter details, they will not be able to find and display any company users.
  • Law firm users are allowed to search for users in their own firm. They are not allowed to search for firm users in other firms.
Criteria used for quick search
The following table describes what data is searched when a firm user enters search criteria in the Quick Search box:

  • Matter names (both long and short names)
  • Matter IDs
  • Law firm matter numbers
  • Limited to the matters the user has access to (billing-only access is not included).
  • Returns both open and closed matters.
  • Returns a maximum of 20 matters.
Invoice number
  • Limited to the invoices the firm user has access to (either because of the user's matter role or system role).
  • Returns invoices with any status (for example, pending, approved or reduced).
  • Returns a maximum of 20 invoices.
User names (first and last names)
  • Searches all active company users that are matter participants in the user's matters.
  • Searches all active firm users (in the same firm only).
  • Returns a maximum of 20 users.
Uploaded documents and files
  • Searches all non-invoice uploaded files.
  • This includes documents, emails, contracts, service of process files, note attachments and matter profile file upload fields. Image files are not included.
  • Returns a maximum of 20 files.

Advanced search

Matter data
To perform an advanced search on matter data:
  1. Go to Matters > Matter List in the left navigation.
  2. Select Search for matter in the toolbar.
  3. Complete one of the following:
    • Enter the matter name in the Matter Name field.
    • Select the field you want to search from the
      Field to Search
      drop-down list, select the search operator in the drop-down list associated with the Field field then (for all operators except is blank) enter your search criteria.
  4. Select Generate list.
Status and notes
Currently, the Tracker system does not have functionality for searching for status and notes.
Invoices
To perform an advanced search on invoices:
  1. Go to Reports > Report List in the left navigation.
  2. Click Find Invoice under Spending Reports.
  3. Select Find Invoice from the drop-down list for Step 1-Report Type.
  4. Complete your search criteria for Step 2-Criteria.
  5. Click Run for Step 3-Generate Report.
Dates and events
To perform an advanced search on matter dates/events:
  1. Click Home > Matter Events in the left navigation.
  2. Select Event search in the first drop-down list.
  3. Complete your search criteria. If you want to search using the advanced search options click show advanced options then select the search criteria from the additional drop-down lists
  4. Click Generate list.
Document search
To perform enhanced document searching using advanced search:
  1. Click Library in the left navigation.
  2. Select Basic Document Search from the drop-down list.
  3. Click Advanced Search.
  4. Under Document Field Filters, select the field you want to search from the Field to Search drop-down list.
  5. Enter your search criteria in the Field Contains field.
  6. Click Search.
