Enter or Edit Firm Client and Matter Numbers in Invoices

Firm client and matter numbers are optional for most matters. However, they are required in the following cases:
  • For consolidated billing matters.
  • If you intend to post LEDES invoices using Speedpost.
  • When you post invoice using the LEDES Generator posting method.

Firm client and matter numbers must match the numbers in the LEDES invoice exactly.
To enter your firm client and firm matter numbers, matter name and location of legal work:
  1. Select
    Billing
    in the left navigation.
  2. Select the
    Matter #s
    tab.
  3. Select
    Edit firm client & matter #
    next to the matter you want to work with.
  4. Enter the firm client number, firm matter number and firm name in the
    FIRM CLIENT #
    ,
    FIRM MATTER #
    and
    FIRM MATTER NAME
    fields.
    LEDES-formatted Invoices
    If you post LEDES-formatted invoices, the client number and matter number must be an exact match of the client and matter number in your LEDES invoices. When entering client and matter numbers:
    • Zeros (0) must be included for the numbers to match. If your invoice includes a matter number of 0001 but the matter number you entered in Tracker is 1, the matter numbers are not an exact match. If the numbers are not an exact match, you will not be able to post invoices to the matter using SpeedPost.
    • The client number must be included in the
      Firm Client #
      field, even if the client number forms part of the
      Firm Matter Name
      field. The client and matter name fields in Tracker must be an exact match of the data in the firm's invoice. Law firms' invoice sometimes show the client number and the matter number in the
      Firm Matter Name
      field. For example, a client number of 10034 and a matter number of 00012 might appear as 10034-00012. This format is acceptable as long as the client and matter number fields in Tracker are an exact match of the data in the firm's invoice. In the example above, the firm must specify a client number of 10034 and a matter name of 10034-00012.
  5. If the location is not already listed, under
    LOCATION OF LEGAL WORK
    , click
    Select,
    then select the location from the list.
  6. If you need to enter information for additional matters, click
    Assign additional firm client & matter #
    and enter the information in the fields as explained in step 4.
  7. Click
    Save
    .

You can also upload firm matter data as a spreadsheet or text file.
If the matter you are looking for is not listed
There are several reasons why a matter might not be listed on the page you are viewing:
  • There may be more matters than can be displayed on the page.
    If you have more than one page of matters, you can use Tracker's paging functionality to move to a different page.
  • Your matter role may not allow you to post invoices to all matters.
    Review your administrative profile to determine whether you have adequate system access.
    To check your system access, select
    Account
    then
    Admin
    in the left navigation. If Firm Administrator, Firm Office Administrator, or Firm User + Billing appears next to
    System Role
    , you have adequate system access to post invoices to all matters. Contact your firm's System Administrator if your role is not one of the ones listed above and you need to have it changed.
  • The matter has not been created.
    If you confirmed that all matters are displayed and you have adequate system access, then the matter has not been created. You or your firm's attorney in charge of the matter should contact your client and notify them that the matter has not been created in the system or your client has failed to grant your firm access to the matter.
