Multiple Firms in a Matter | Accessing, Entering, and Updating Data

This topic explains the rules and exceptions regarding accessing, entering or editing other firms' data when there are multiple firms assigned to a matter.

Access to Other Firms' Data

If users from more than one firm have access to a matter, firm users generally have access only to their own firm's data, with the following exceptions:
  • A matter can be set up so that the lead firm can see secondary firms' information.
  • When a firm posts information (such as a document or status report), the firm has the option of specifying whether it is viewable by other firms' users or to just the firm that is posting the information. Company users can always see all information posted by the firm.

Data Each Firm Can Enter or Edit

If users from more than one firm have access to a matter, there will be limits regarding the data each firm user can enter and edit. The limits that apply depend on whether the firm user is with the lead firm or a secondary firm.
The table below provides specific rules with respect to each category of data. Except as noted below, the general rule is that a firm cannot edit other firm's data.

Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can enter or edit the law firm matter profile fields for the matter. However, they cannot edit the company matter profile fields.
Required:
Never.
Who Can Edit:
Not applicable. Secondary firm users have a limited view of the matter profile and cannot edit any fields other than the firm's own client and matter numbers.
Status Reports
Required:
Can be required.
Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can submit a status report.
Required:
No.
Who Can Edit:
Same as for lead law firm.
Notes
Required:
No.
Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can post a note.
Same as for lead law firm.
Date/Event
Required:
No.
Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can create a date/event.
Same as for lead law firm.
Budget
Required:
Can be required.
Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can create or edit the budget for the matter.

Invoices
Who Can Post:
Any firm user that is a Matter Administrator or Matter Editor for the matter or any firm user who has billing rights can post an invoice to a matter.

Unbilled Amounts
Required:
Can be required.
Who Can Edit:
Any firm user that is a Matter Administrator or Matter Editor for the matter or any firm user who has billing rights can post an unbilled amounts to a matter.
Required:

Documents
Required:
No.
Who Can Edit:
Any firm user who is a Matter Administrator or Matter Editor for the matter can post a document. Unlike the other features in Tracker, any user in the system who is a Matter Administrator or Matter Editor in the matter can edit the document.

Same as for lead law firm.
