Electronic filing information

Electronic Filing is a category within Organizer that applies to jurisdictions. Electronic Filing information varies widely across state jurisdictions, but may include one or more of the following groups:
  • File Creation
  • Return Type
  • Taxpayer Information
  • Contact Information
  • Payment Information
  • Override Option
Data set up in Electronic Filing's transferred into your tax return during Transfer. Once electronic filing information's in the tax return, it carries to specific tax returns or all tax returns within the jurisdiction to generate an e-file.

Generating test e-files

Some states require new e-filers to submit test returns prior to production (real, live) returns.
This is a very important step, because depending on the state, the test files and production files will be transmitted to different mailboxes. Additionally the files may be processed differently because the test will look for specific error items needing correction so that the production file will pass without error in the future.
It's also important that you remove the test designator from Organizer when you've finished testing. This is to ensure that all future e-files will be generated with the production designator, so that files will be transmitted to the production mailbox and processed properly.

Generate E-File Diagnostics

You can find the E-filing Diagnostics under the Tax Returns tab for each return. There will be a sub-folder for diagnostics for any applicable return under the Electronic Filing folder. The Diagnostics shows entries flagged as errors which is also selectable for the user to directly go to the respective entry and fix the errors.
This allows the user to go through all the diagnostics and fix them before the actual filing of the returns, ensuring that the Entity is compliant with all the Filing guidelines.

Transmitting electronic tax return files

Use one of 4 methods to transmit your electronic tax return files:
  • Communications software, such as HyperTerminal. Contact your company technical personnel for use of this software.
  • ONESOURCE Sales and Use Tax Compliance Electronic Tax Return Transmit Automation feature. The feature is available for Arizona, California, Florida, Illinois, Louisiana, South Carolina, and Tennessee.
  • State website, by importing electronic tax return, using a set file layout. This option is available in Alabama, Iowa, Louisiana Locals, Kansas, Minnesota, Nebraska, Oklahoma, Pennsylvania, South Dakota, Virginia, and Washington.
  • State website, by selecting and transmitting electronic tax return. This is available in Alaska Locals, Arizona, Arkansas, Colorado, Florida, Georgia, Mississippi, New Mexico, New York, North Carolina, North Dakota, Ohio, South Carolina, Tennessee, Texas, and Wisconsin.
