Partial payment of NetClient invoice

By default, only the full invoice payment amount can be entered into a NetClient invoice, making it impossible to enter a partial payment via the NetClient portal. There are 2 alternative procedures that let you enter a payment that is less than the full amount.

Methods

To make a partial payment of a NetClient invoice, you have 2 options.
  1. Mixed payment methods:
Get the payment from the client using a method other than NetClient (cash, check, etc.). Then enter the payment in Practice CS Receipt & Adjustment Entry, apply the payment, and reprint the invoice.
  2. Multiple NetClient payments:
Modify the invoice amount to match the desired payment amount and reprint the invoice to NetClient. The client pays the invoice through NetClient. Once the payment is processed, create a 2nd invoice for whatever remaining amounts you want to bill. Print the 2nd invoice to NetClient. Then the client can pay the remainder of their balance.

Method 1: Mixed payment methods

  1. Collect a payment from the client by cash, check, credit card (not entered through the portal), or direct debit (ACH).
  2. In Practice CS, select
    Actions
    then
    Receipt & Adjustment Entry
    .
  3. Enter the payment by completing the necessary fields.
  4. Open the Applied Amounts window by selecting the button between the Amount and Applied Amounts column.
  5. Apply the receipt to the NetClient CS invoice.
  1. Select
    File
    then
    Print Invoices & Statements
    .
  2. Select the invoice.
  3. Select
    Print Selected
    .
  4. Select the
    Output to NetClient CS
    option.
  5. Select
    OK
    .
After completing the steps earlier, a new invoice with an updated invoice amount will show in the NetClient CS portal.

Method 2: Multiple portal payments

If it's necessary for the client to pay through the NetClient portal, you'll need to reduce the invoice amount to match the amount the client wants to pay. This isn't actually a partial payment of the invoice, but a full payment of the invoice with a reduced invoice amount.
Example 1:
  • The invoice amount is $1,000. The client wants to pay $200 through the portal. You enter a credit memo for $800 and reprint the invoice to NetClient. The invoice will display a billed amount of $1,000, a credit of $800 and an amount due of $200. The client pays $200 through the NetClient portal.
  • Once the client makes the payment, you would need to delete the $800 credit memo and print the invoice to the NetClient again. Now the invoice will show a billed amount of $1,000 and a $200 payment, which leaves an amount due of $800.
Example 2:
  • The invoice amount is $1,000. The client wants to pay $200 through the portal. You delete the invoice, removing it from NetClient. Create a new invoice for $200 and carry over the rest of the WIP. Save the invoice and print it to NetClient. The invoice will display an invoice amount of $200. There will be no adjustments shown on the invoice. The client pays $200 through the NetClient CS portal.
  • Once the client makes the payment, you would need to create a 2nd invoice for the remaining $800 and print that to NetClient CS.
