Create binders in GoFileRoom

Before creating a new binder, follow the preparation steps in GoFileRoom by creating folders and adding documents. 
After creating folders and adding documents, the
Create New Binder
window will be available for you to do the following:
  1. Go to the
    Select Binder Options
    section and select basic settings such as the owner of the binder, the office location, and more.
  2. Choose a binder template based on your tax software under 
    Select  Binder Template
    . There are predefined binder templates based on tax software and binder type. You can add custom binder templates in
    FileRoom
    ,
    Admin
    ,
    SPbinder
    , then
    Binder Template Setup
    .
    Select
    Select GFR Documents
    under 
    Select Source Documents
    . On the Select GFR
    Documents For Workflow
    window, mark the checkbox next to each document you want to upload, then select 
    Add Documents
    . The
    Warnings
    column on the right shows a message if the document isn't valid (for example, incorrect file format, password protected, damaged). Hover over the warning message to get a tooltip with the full text.
  3. You'll get a panel dependent on your tax software called
    Select (tax software name) return
    .
  4. Confirm the information under
    Enter Client Details
     at the bottom of 
    Basic Information
    .
  5. Select the
    Processing Options
    tab for additional settings related to processing the return.
  6. If you want to add notes to the binder, select the
    Notes
    tab at the top.
  7. Select 
    Optional Information
     to set additional information such as the client due date, estimated complexity, budgeted hours, password, and more.
  8. Once you've set all the information, select 
    Submit
    .
  9. You'll see the 
    Tax Folder
    in GoFileRoom now. The status next to the SurePrep button will change from 
    Create Engagement
    to 
    In Processing
    .
  10. You can go to the
    Routing Information
    tab to view status change information such as:
    • Step
    • Responsible
    • Assigned To
    • Assigned Date/Time
    • Completed Date/Time
    • Priority
    • Status
    You can view either the Routing Summary or the Routing History.
  11. For in-house binders, once the OCR processing is completed the status will be 
    Pending Review
    . For outsourced binders, once the return is verified, prepared, reviewed, and submitted back to the GFR dashboard by SurePrep, the status will be 
    Open SPbinder
    .
    If there are errors in the submission, the
    SurePrep
    button will read
    Error In Submission
    .
    The owner will receive an email outlining the error. Correct the error, then select
    SurePrep
    to resubmit.
    1040SCAN will process the standard documents. When completed, the
    SurePrep
    button will change to
    Pending Review
    and the owner will receive an email notification. The workflow will be routed to Preparation.
  12. Select
    SurePrep
     to review the return. For in-house returns, the
    Review Wizard
    will open.
    After review steps have been completed, status in GFR will change to
    Open SPbinder
    . For outsource returns,
    SPbinder
    will open. For in-house returns,
    SPbinder
    will open after you complete the review steps.
