Screen Contact - Client Contact Information and Third Party Designee (1040)
Overview
Use this screen to enter contact information for your client and to report a third party designee other than the designee entered in the Preparer Information dialog on the Setup, Office Configuration, and then Preparers tab. Also use this screen to enter appointment information and UltraTax/1040 Client Organizer and proforma options.
Appointment Information
Use this section to enter Appointment information for your client. You may enter current-year and next year's appointment information. Next year's appointment data will proforma to the following year's Contact screen.
Appointment date, time, and duration
Use the fields provided to enter the current-year appointment date, time, and duration for the client. Enter time in HH:MM format. Any data entered in this field will be reformatted. If the data entered cannot be interpreted, the application will default to 8:30 AM or "INVALID DAT."

You can also designate the current-year appointment event as a status event, or designate an existing status event as the appointment event. Mark the
Appointment Event
box in Setup, Office Configuration, and then Status tab to enable this bi-directional feature. For more information about status events, see Status tab.
The application includes the appointment information on the organizer cover letter if the Appointment custom paragraph is selected for the client. The Appointment custom paragraph, by default, will print for all clients that have appointment information entered on the Contact screen. This field can also be used with the Data Mining feature in UltraTax CS to generate Appointment lists using predefined searches such as clients with current year appointments, next year appointments and those without appointments.

If the Appointment information is not printing for clients with appointment information, choose Setup and then 1040 Individual, select the Organizer tab, select the Letters & Emails tab and check the Appointment custom paragraph.

Next year appointment date, time, and duration
Use the fields provided to enter next year's appointment date and time for the client. This information will proforma to the following year's

Other appointment information
Use this field to enter information relevant to the appointment.
Client Contact Information
Use this section to enter client contact information not entered elsewhere. The information will be displayed on the Client Profiles tab. For details see Using the UltraTax CS Home Page.

Some of the client contact information will be available for inclusion in the Client Contact Information report and in custom reports for the Data Mining feature in UltraTax CS.
Taxpayer matters person
Use this field to select to designate the tax matters person for married clients. The information will display on the Client Profiles tab. For details see Using the UltraTax CS Home Page.
Taxpayer and spouse email address
Email addresses entered for the taxpayer and/or spouse are used by UltraTax CS, UltraTax/1040 Client Organizer (if licensed), and Data Mining to electronically send information to your clients. An email address entered in this field will automatically update an email address entered in Setup and then Client Communications, or in Utilities, Data Mining, Setup, and then Email Addresses. In addition, an email address entered in Setup and then Client Communications, or Utilities, Data Mining, Setup, and then Email Addresses, will also update the email address entered in this field.
Telephone numbers

If a mobile telephone number is available, IRS security requirements state that it be included in the electronic file.
Preferred method of contact
The method you choose here will display on the Client Profiles tab. Remember that home and work phone numbers are entered on the 1040 screen in the General folder
Client Organizer and Proforma Options
Use this section to determine UltraTax/1040 Client Organizer and proforma options for the open client.
Suppress next year's proforma
Mark this field and UltraTax CS will not proforma this client next year or include the client in the range of clients selected for proforma in next year's application.
Due date of completed organizer
Enter the due date for the client to complete their organizer and return it to your office. The application will include this date on the organizer cover letter if the

custom paragraph is selected for the client. This field can also be used with the Data Mining feature in UltraTax CS to generate a report of organizer due dates.

To select one due date to print for all clients, choose Setup and then 1040 Individual, select the Organizer tab, and enter a due date in the
Due date for taxpayer to return completed client organizer
field in the Other return options group box. If dates are entered in the Organizer tab and in the
Due date of completed organizer
field in the Contact screen, the date entered in the Contact screen will be included in the organizer cover letter.
Print blank client organizer
Mark this field to print a blank client organizer, if you are licensed for UltraTax/1040 Client Organizer. By default, UltraTax/1040 Client Organizer prints only the organizer pages that contain data. Organizer pages get data either from proforma or data entry in the Organizer screens. You can select this feature to print a blank client organizer or to send a blank electronic organizer to your new clients who do not have proforma'd or pre-existing data. You can set this option for all new 1040 clients or 1040 clients converted from another tax application vendor. Choose Setup and then 1040 Individual, select the Organizer tab, and mark the

box in the New client options group box. Refer to the Return Collation dialog (in Setup, 1040 Individual, Organizer tab, and then Organizer button) to choose the items you want to include in the blank organizer.
Processing tip:
If you are going to use both the Classic and Organizer Lite versions of the blank organizer, you must edit the Organizer Return Collation according to the version you will print. For example, if you want to use the Lite version format (in Setup, 1040 Individual, Organizer tab, and then Options button), you must clear the

Organizer type options
From the fieldview, select the code to determine the Organizer presentation type for this client. This field overrides Organizer options chosen for all clients.
To globally select an Organizer presentation, choose Setup and then 1040 Individual, select the Organizer tab, select the Modify button, and select a presentation option in the Options dialog.
Organizer delivery method used / ...in prior year
This field is for informational purposes only. The field displays the organizer delivery method used the last time the organizer was printed.

Third Party Designee
Use these fields to report a third party designee other than the designee in the preparer setup options in the Setup, Office Configuration, and then Preparers tab. This information will print if the

(Yes). This information reports in the Third Party Designee section of Form 1040, page 2. For non-resident returns (Form 1040NR and 1040NREZ), the information prints in the signature block area unless you mark the
Ignore Third Party Designee information on the Contact Screen
box in the Setup, 1040 (Individual), Other Return Options, and then Return Presentation tab choose to ignore the third party designee in the return's setup options.
Force Third Party Designee information (Overrides Other Return Option to ignore Contact Screen data)
Paid preparers are not required to complete the 3rd Party Designee section on Form 1040; instead, paid preparer’s only need to mark the 3rd Party Designee box on Form 1040, Page 1, by marking the
Preparer (above) is the default designee
box in the Preparers tab.
When you mark this force field and the
Ignore Third Party Designee information on Screen Contact
box in the Return Presentation tab, the third party designee information in the Contact screen is treated as someone other than the preparer and reports on Form 1040, page 2, and the 3rd Party Designee box on Form 1040, Page 1, is not marked.
