Microsoft Excel Export/Import utility guidelines for apportionment information
Consider the following guidelines when you modify the Microsoft Excel workbook data you want to import into UltraTax CS/1065.
Always start by exporting apportionment information to Excel. UltraTax CS/1065 assumes that the initial Excel workbook template was generated using the process of exporting the apportionment information from UltraTax CS/1065.
Always save the Excel workbook before you import the data back into UltraTax CS/1065 to make sure that UltraTax CS imports all changes.
Subsequently created export/import spreadsheets always replace any previously created spreadsheets by the same name.
For importing data into UltraTax CS/1065 from Excel, UltraTax CS/1065 assumes that you haven't modified the order of the worksheets in the Excel workbook. The worksheets are imported into UltraTax CS/1065 in the order in which the worksheets were initially exported to Excel:
Apport Info Property
Apport Info Payroll
Apport Info Sales
You can't insert or delete rows in the workbook.
You can't add or delete column heading rows or add or delete any factor components.
You can export apportionment information from 1 UltraTax CS/1065 client to an Excel workbook and subsequently import the information into a different UltraTax CS/1065 client. You can also export apportionment information from 1 UltraTax CS/1120 client to an Excel workbook and subsequently import the information into a different UltraTax CS/1120 client. However, you can't export and import apportionment information between UltraTax CS/1120 and UltraTax CS/1065 clients.
You can't export or import information from the state tabs.
Year-end property amounts for depreciable property aren't imported when you use detailed asset data entry to classify assets for apportionment.
You can't export or import statement window detail. When you import apportionment information from Excel, total amounts are imported into the UltraTax CS/1065 Apportionment Information window. Then you'll need to open the statement windows and update the statement detail, or you can import the statement window detail from Excel or from the Windows clipboard as described in the overview of importing statement data from Excel.

Statement
window button is highlighted, then the amount imported from Excel doesn't equal the amount in the statement window. Open the statement window and update the detail.
Column shading, column totals, and the cross-footing of state columns into the Everywhere column mimics the shading, footing, and cross-footing behavior in the Apportionment Information window for states, cities, and other returns exported to Excel. If you add a column to Excel, the column won't have shading or column totals, and the column won't cross-foot into the Everywhere column. For more information about column shading in the Apportionment Information spreadsheet, refer to the UltraTax CS/1065 Apportionment procedures and reference information and the Apportionment Information spreadsheet.
You can't import data from the Everywhere column in Excel into UltraTax CS/1065.

spreadsheet will still be replaced after you import data from Excel. To delete the replaced information, select
Edit
, then
Overrides
.
When you import apportionment information from the Excel workbook back into UltraTax CS/1065, the data already entered in the Apportionment Information spreadsheet is replaced with the information from the Excel workbook.
The first time you export apportionment information into an Excel workbook, the states attached to the client are listed in alphabetical order in the Excel workbook. If there are city or other returns attached to the client, these returns are listed after that state in the workbook.
You can insert and delete state, city, and other return columns in the Excel workbook. Although you can add these columns in Excel, we recommend that you add the state, city, and other returns to the client in UltraTax CS/1065 before you export the apportionment information to Excel.
If you add columns for state, city, or other returns in Excel, you'll need to complete the column headings according to the following guidelines to import the data into UltraTax CS/1065. If the column headings aren't added correctly, the information can't be imported into UltraTax CS/1065.
To add a state column, enter the state's name in row 3 of the column heading. Don't use the state's postal code.
To add a city or other return column, enter the state's postal code in row 2 of the column heading. Then enter the name of the city or other return in row 3 of the column heading, exactly as the city or other return appears in the Apportionment Information spreadsheet.
If the column headings in Excel don't exactly match the column headings in the Apportionment Information spreadsheet, then UltraTax CS won't import the data from these columns into UltraTax CS/1065. Instead, UltraTax CS/1065 will display the Apportionment Import Error Messages window, which identifies the column(s) that weren't imported.
If a state's column heading in Excel is spelled correctly, but the state return isn't attached to the client in UltraTax CS/1065, the amounts from the state column in Excel will accumulate in the Other column in the UltraTax CS/1065 Apportionment Information spreadsheet.
If a city or other return's column heading in Excel is spelled correctly, but the city or other return isn't attached to the client in UltraTax CS/1065, the amounts won't import. Instead, UltraTax CS/1065 will display the Apportionment Import Error Messages window, which identifies the columns that weren't imported.

If you don't plan to import the Excel file into UltraTax CS/1065, you can modify the file according to Microsoft's Excel guidelines.
