Accept
Web Organizer
data into screens

When you pull data from a client's
Web Organizer
,
UltraTax CS
holds it in the background. To add this data to the client
Organizer
input screens, you'll need to first review and accept it.
You can then use this data in
UltraTax CS
to calculate the tax return. If you don't want to use the data, you can discard it.
You can also retrieve information from the following sections:
  • Other Client Information
    : This section on certain input screens lets you add and display extra client information. While not used in tax calculations, this information might signal the need for more details from the client, or be enough for entry on other relevant input screens. You can find this section in the
    Est
    (
    Payments
    folder),
    3903
    (
    1040 Adj
    folder),
    2441
    (
    Credits
    folder),
    1099C
    (
    Income
    folder),
    SSA-1099
    (
    Retirement
    folder), and
    D
    (
    Income
    folder) screens.
  • Notes to Preparer and Questionnaire
    : The
    Web Organizer
    includes a questionnaire and notes page for taxpayers to enter questions, notes, and comments. This information is for informational purposes only and doesn't factor into tax calculations. After retrieving the
    Web Organizer
    data, you can review anything the client entered in these sections within the
    Notes
    tab of the
    1040
    folder and decide if further action is necessary.
Retrieving data multiple times for the same client will replace any unaccepted or discarded changes. It will also restore any previously discarded data. However, data you've already accepted will remain untouched. Each retrieval adds a new row of data to the statement window.
To avoid potential issues, only retrieve data once. If your client needs to update their information, ask them to make all changes before submitting the
Web Organizer
.
To prevent clients from submitting the
Web Organizer
multiple times, mark the
Allow the client to choose the Web Organizer "Send to Preparer" button only once and prevent further changes
checkbox in the
NetClient Organizer Options
window before sending the
Web Organizer
.

Recognize retrieved data

The client
Organizer
uses several indicators to highlight unaccepted data:
  • When you open a client with unaccepted data, a message may appear. To turn this off, clear the
    Access this dialog when opening a client
    checkbox in the prompt, or the
    Inform me when retrieved data is present when a client is opened
    checkbox in
    Setup
    User Preferences
    Data Entry
    tab.
  • Retrieved data displays in purple within the
    Organizer data entry
    screens and statement windows. Accepting the data turns the text black. Discarding it restores the original data.
  • Look for these visual cues to identify areas with retrieved data:
    • A purple dot on Statement window within a statement window.
    • A purple dot on Client Organizer Data Entry (visible in
      Organizer
      and tax data entry).
    • Purple lines through folder icons in
      Organizer data entry
      if the folder includes an input screen with retrieved data.
    • A purple dot on each
      Organizer
      data entry tab that includes retrieved data.
Once you accept or discard the data, these purple dots and lines will change to black (or disappear, in the case of the button indicators).

Accept client-entered tax information

You can either accept retrieved data to include it in tax return calculations or discard it.
When you place your cursor in a field containing retrieved data, the status bar at the bottom of the screen displays the original content:
  • Blue text indicates
    proforma'd
    data.
  • Black text indicates preparer-entered data.
  • <Blank>
    indicates the field was empty before data retrieval.
You can accept or discard retrieved data in 2 ways:
  1. Buttons
    : When the cursor is on an
    Organizer data entry
    screen with retrieved data, you'll find the following buttons.

    Accept all retrieved data on screen
    Accept all retrieved data on the current screen.
    Discard all retrieved data on screen
    Discard all retrieved data on the current screen.
    Accept retrieved data in window
    Accept retrieved data in the current statement window only.
    Discard retrieved data in the window
    Discard retrieved data in the current statement window only.
  2. Keyboard shortcuts
    : You can use keyboard shortcuts to accept or discard retrieved data directly within input screens and statement screens.
    Shortcut

    CTRL -
    When working in an
    Organizer
    input screen, using these keys together discards all retrieved data on that screen and restores the original data.
    CTRL +
    When working in an
    Organizer
    input screen, using these keys together accepts all retrieved data on that screen.
    -
    When your cursor is in a field with retrieved data (purple text), using this key discards the data and restores the original data for that specific field.
    +
    When your cursor is in a field with retrieved data (purple text), using this key accepts the data for that field.

Accept retrieved asset information

When you retrieve asset data, it displays in the relevant
Asset
tab.
  • To transfer this data into the depreciation module, select
    Accept
    .
  • To delete this data, select
    Discard
    .
  • If you don't want to update the asset, close the
    Asset Detail
    window without saving. This automatically discards the retrieved information.
You'll need to accept the asset information to review any updates.
Depending on the client's input, you'll see up to 3 tabs:
Acquisitions

Updates
