Migrate Microsoft Outlook data to Virtual Office CS or SaaS

Complete the following multi-part procedure to export PST files from a local installation of Microsoft Outlook and then import the PST files into the Virtual Office CS or Software as a Service (SaaS) installation of Outlook.

Part 1: Export data from your local installation of Microsoft Office

Follow these steps to export PST files from a local or network installation of Microsoft Outlook. The steps needed to do this vary depending on the version of Outlook that is installed on your computer.
For Outlook 2021 and 2010
  1. Create a folder on your local hard drive named
    Outlookbackups
    .
    1. Double-click the
      Computer
      or the
      My Computer
      icon.
    2. Double-click the
      C:\
      drive.
    3. Select
      File
      ,
      New
      , then
      Folder
      .
    4. Name the folder
      Outlookbackups
      .
  2. Open your local installation of Microsoft Outlook 2021 or 2010.
  3. Select the
    File
    tab,
    Open
    , then select
    Import
    .
  4. In the
    Import and Export Wizard
    , select
    Export to a file
    , then select
    Next
    .
  5. In the Create a file of type list, select
    Outlook Data File (.pst)
    , then select
    Next
    .
  6. In the
    Select the folder to export from list
    , select the Outlook folder that includes the data you want to export.
    note
    If you select the top-level folder, Outlook will export all mail and contacts.
  7. Mark the
    Include subfolders
    checkbox, then select
    Next
    .
  8. Select the
    Browse
    button and go to the
    C:\Outlookbackups
    folder, which you created in step 1.
  9. Enter
    Outlook PST backup
    in the
    File name
    field, then select
    OK
    .
    note
    Entering a more specific name for the PST will let you identify the file when you import it into Virtual Office CS or Software as a Service (SaaS) Outlook.
  10. Select
    Finish
    .
  11. You can enter a password for the PST file, then select
    OK
    . If you don't want to password protect the PST file, leave the fields blank and select
    OK
    .
    Depending on the size of the PST file, it may take several minutes for Outlook to create the export file.
  12. To export extra PST files or contacts, repeat steps 3 – 11 of this procedure. In step 9, be sure to enter a unique name for the export file.
  13. Close the local installation of Microsoft Outlook.
    note
    If you don't close the local installation of Outlook, you might not be able to import the PST files into Virtual Office CS or Software as a Service (SaaS) Outlook. If this happens, you'll receive a message stating that Outlook couldn’t access the PST file when you try to import the file.

Part 2: Importing PST files into Virtual Office CS or Software as a Service (SaaS) Outlook 2021

Complete the following procedures to import local Outlook data into Outlook 2021 in the Virtual Office CS or Software as a Service (SaaS) environment.
Open Outlook 2021 through Virtual Office CS or Software as a Service (SaaS)
  1. Select the
    Applications
    link in the navigation pane.
    note
    If you don't see this link, you don't have access to applications through your portal.
  2. Select the Microsoft Outlook 2021 icon.
Create your email account and configure Outlook 2021

Complete this procedure only if the Microsoft Outlook 2021 Startup wizard opens when you open Outlook 2021 through Virtual Office CS or Software as a Service (SaaS). If the wizard didn't open, skip to
Set up the PST file
.
If this is the 1st time you opened Outlook 2021 through Virtual Office CS or Software as a Service (SaaS), the Microsoft Outlook 2021 Startup wizard opens. Follow these steps to create your email account and configure Outlook.
  1. In the wizard, select
    Next
    .
  2. In the Email Accounts page, leave
    Yes
    selected to indicate that you want to create an email account.
  3. Select
    Next
    .
Set up the PST file
  1. Select the
    File
    tab.
  2. With Info selected, select the
    Account Settings
    icon, then select
    Account Settings
    .
  3. Select the
    Data Files
    tab.
  4. Select
    Add
    .
  5. In the
    Create or Open Outlook Data File
    window, enter the name of the new PST file in the
    File name
    field.
    • Optional: Mark the
      Add optional password
      checkbox if you want to create a password for the PST file.
  6. Select
    OK
    .
  7. Repeat steps 4 – 6 to create folders for more PST files or contacts that you will import.
  8. Select
    Close
    .
Import the PST data
  1. Select the
    File
    , choose
    Open
    , then select
    Import
    .
  2. In the
    Import and Export Wizard
    window, select
    Import from another program or file
    and select
    Next
    .
  3. In the Select file type to import from list, select
    Outlook Data File (.pst)
    , then
    Next
    .
  4. Select the
    Browse
    button, select the Folders arrow, then select
    Computer
    to view your local and network drives.
  5. Go to the
    Outlookbackups
    file on your local
    C:\
    drive, select the PST file, and select
    Open
    .
    note
    • In the Virtual Office CS or Software as a Service (SaaS) environment,
      C$
      on
      Client (V:)
      is your local
      C:\
      drive.
    • If you entered a password for the PST file, you'll need to enter the password before Outlook will let you import the file.
  6. Select
    Next
    .
  7. In the
    Select the folder to import from list
    , select the folder into which Outlook should import the data from the PST file.
  8. Mark the
    Include subfolders
    checkbox, select the
    Import items into the same folder in
    option, and
    Outlook Data File
    displays in the dropdown list.
  9. Select
    Finish
    .
    Depending on the size of the PST file, it may take several minutes for Outlook to import the data.
  10. Repeat this procedure to import data for any extra PST files.
