Meeting Planner Panel

The Meeting Planner panel enables events and meetings to be scheduled, displayed, and managed from a HighQ page. The panel supports list, week, and month calendar views and can integrate event document folders, event templates, iSheets, and custom branding.
When configured, the Meeting Planner can provide access to event details, agendas, attendees, online meeting links, and associated document folders. Optional event cards can also display the next upcoming event and the most recent past event.

  • This panel is available only for System-level and Custom Page dashboards. It is available to all
    HighQ Premium
    clients as an additional add-on. You can create one Meeting Planner panel in trial mode. To enable the full version, please contact your Account Manager or Customer Success representative.

Creating a Meeting Planner panel

To add a Meeting Planner panel, select
Meeting Planner
from the
Enhanced Interactive Data Visualisation
section of the panel selector.
The Meeting Planner configuration window opens and provides separate sections for configuring general settings, optional iSheets, branding, and the configuration summary.
The sections displayed in the configuration window depend on the options selected under
General
. For example, enabling event templates adds the
Event templates
section, while enabling the event iSheet adds the
Event iSheet
section.

General

Use the
General
section to update the HighQ site, document location, Meeting Assistant, default calendar view, and optional Meeting Planner features.
HighQ Site
- Select the HighQ site where events will be displayed. The selected site is also used to scope event and folder operations for the Meeting Planner.
Default document location
- Select the parent folder in which new event document folders will be created.
Select
Browse
to navigate to and choose the required folder. The selected folder becomes the default document location when a new folder is created for an event.
Meeting Assistant
- Select the Meeting Assistant that will act as the host for events. The Meeting Assistant corresponds to the configured Exchange bot account that hosts the Meeting Planner calendar.
Default calendar view
- Select the view displayed when the Meeting Planner is opened:
  • List
    - Displays events in a tabular list.
  • Week
    - Displays events in a weekly calendar grid.
  • Month
    - Displays events in a monthly calendar grid.
Users can switch between the available views after opening the Meeting Planner. The default configuration uses the
List
view.
Include folder links in agenda
- Specify whether a link to the associated event folder is automatically added to the bottom of each event agenda:
  • Yes - Include folder links in agenda
    - Adds the event folder link to the agenda.
  • No - Do not include folder links
    - Does not add a folder link to the agenda.
The default setting is
No
.

Options

Select one or more optional features for the Meeting Planner.
Enable event templates
- Enables event templates and adds the
Event templates
section to the panel. Event templates can be created and stored in a dedicated iSheet and used to prepopulate information when creating events.
Template iSheet
- Select one of the following options:
  • Create new
    - Creates a new iSheet for storing event templates.
  • Use existing
    - Uses an existing compatible template iSheet.
When
Create new
is selected, a new template iSheet is created to store event template information. Enter a value in the
Template iSheet name
field to define the name of the iSheet before it is created.
note
The Template iSheet and the columns listed below are automatically created and visible to all users with access to the iSheet module.
A template iSheet must contain at least the following columns:
  • Type
    - A single-line text column.
  • Data
    - A multi-line text column.
Use event iSheet
- Creates an iSheet record for each event. The Event iSheet can be used with HighQ workflows to support custom notifications or approval processes. Enabling this option adds the
Event iSheet
section to the configuration window.
Select one of the following options:
  • Create new
    - Creates a new iSheet for storing event records.
  • Use existing
    - Uses an existing compatible event iSheet.
When
Use existing
is selected, choose the required iSheet from the list.
When
Create new
is selected, a new event iSheet is created for storing event records. Enter a value in the
Event iSheet name
field to define the name of the iSheet that will be used to track event details.
note
The Event iSheet and the columns listed below are automatically created and available to all users who have access to the iSheet module.
The Event iSheet contains the following columns:
Column

Template
Stores the label of the template used for the event.
Title
Stores the event title.
Start
Stores the event start date and time.
End
Stores the event end date and time.
Agenda
Stores the event agenda as plain text.
Online meeting
Stores the Microsoft Teams meeting link.
Documents
Stores the link to the event document folder.
Invitees
Stores a newline-separated list of attendee email addresses.
Data
Stores metadata, including the event identifier and cancellation information.
Show next and last event cards
- Displays cards for the next upcoming event and the most recent past event at the top of the Meeting Planner. Selecting an event card opens the corresponding event details.

Branding

Use the
Branding
section to customise the Meeting Planner colours to match the organisation's branding. The selected colours are applied to buttons, interface elements, and calendar events.
Primary Brand Color
- Enter or select the primary brand colour. Based on the selected primary colour, the Meeting Planner automatically generates related shades for the following interface states:
  • Primary
    - Used for action buttons and selected interface controls.
  • Hover
    - Used when a pointer is positioned over an interactive control.
  • Active
    - Used when a button or control is selected or pressed.
  • Events
    - Used for calendar event backgrounds and borders.
  • Today
    - Used to highlight the current day in the calendar.
The
Live Preview
area displays how the selected colour will appear across buttons, view controls, calendar events, and the calendar.
To undo any branding changes, select
Revert to Default
to restore the default branding values.
Once all the settings are configured, click
Next
to see a preview and configuration summary. Review all settings carefully to verify they are correct before proceeding.
note
With the current HighQ release (5.12), the Meeting planner panel cannot be edited once it is added to the dashboard. Ensure all configuration settings are correct before selecting
Create
.
Click
Setup
to add the Meeting planner panel to the dashboard. The panel is automatically added and is immediately available for use.
