Process direct deposit

You can use the
Process Direct Deposit
screen to preview, manage, prenote, fund, and create ACH files for direct deposit transactions.

to open the
Process Direct Deposit Options
screen, where you can specify settings and default behaviors for the
Process Direct Deposit
screen.
To access the screen, select
Actions
then
Process Direct Deposit
.
  1. Before you begin, you use the filter at the top of the screen to filter the data that's displayed in the Direct deposit transactions grid.
  2. Select
    Prenoting
    to open the
    Prenoting
    screen, where you can view, modify, and process prenoting files.
  3. Select
    Funding
    to open the
    Funding
    screen, where you can select transactions to fund. Once transactions are selected here and processed, you can then create ACH files for the funding transactions.
  4. By default, only transactions that have not yet been processed display in the Direct deposit transactions grid. To include transactions that have already been processed, mark the
    Include processed files from
    checkbox and then select the range of effective dates for transactions you would like to include in the grid.
  5. The grid contains all direct deposit transactions waiting to be processed. Transactions that have already been processed will not display here unless the
    Include items that have already been processed
    checkbox is marked. Use the filter to display fewer transactions, if necessary.

    The grid displays the transaction date, bank, routing number, account number, amount, format (Domestic or International), and method (ACH or Kotapay) for each transaction. Select the plus sign to expand the transaction and view the individual transactions. You can sort the information in the grid in various ways by clicking the headings.
    • There is a Notes column available in the grid for each individual transaction. The application displays notes that you enter in this field on the Funding Activity Report. The notes also flow into the Notes tab in the Enter Transactions screen.
    • The application doesn't combine domestic and international entries when creating ACH files.
    • The vendor payments grid includes a
      Group by
      field that enables you to group items in the grid.
  6. Review the
    File Location
    . You can modify this location by choosing
    Setup
    then
    File Locations
    and changing the location in the
    Direct deposit/ACH
    field.
  7. Select
    Preview Selected
    if you want to view the files in the
    Direct Deposit File Viewer
    screen.
  8. Select
    Manage Files
    to open the
    Manage Files
    screen, where you can view ACH files and transactions and reverse the transactions for a client or reverse transactions for individual employees.
  9. When funds for transactions have been selected and processed in the
    Funding
    screen, the sum of those funds are displayed in the Amount column in the Direct deposit transactions grid and are available to create an ACH file. To display the details (fund type, payee, and amount) of the transactions associated with the selected fund, select
    View Funding Detail
    .

    Funding detail
    isn't available via the
    View Funding Detail
    button for transactions that were previously included in an ACH file. You can view the funding detail for those transactions in the
    Enter Transactions
    screen.
  10. If you are transmitting direct deposit files using Kotapay, select
    Transmission Information
    to open the
    Transmission Information
    screen, where you can enter the login and password information provided to you by Kotapay. It's necessary to enter this information prior to transmitting files to Kotapay.
  11. To run a condensed ACH report, select
    Condensed Report
    . This button will be active only if 1 or more transactions are marked in the grid. In the ACH Condensed Report screen, select either
    Print Preview
    button to preview the report or
    Print
    to print the report.
  12. Select
    Create Files
    to create ACH files for all selected transactions.
