screen to create a text file that you can send to the Social Security Administration (SSA) or the Internal Revenue Service (IRS) to verify that employee social security numbers and names and vendor tax identification numbers entered in the application match those on file with those agencies.
To access the screen, select
Actions
then
SSN/TIN Verification
.
The files are stored in the location displayed at the bottom of the screen. You can change the location by selecting
Setup
then
File Locations
and modifying the SSN verification path. When a file is created, you can upload it to the appropriate agency via their website.

Preview Selected
: Select this to view the information that will be contained in the files when you have employees selected in the SSN or TIN grid. You can choose to view the contents in the default Report format, which shows the data contained in the file for the selected clients and forms, or in Agency format, which is the actual file format as it will be sent to the agency.
Manage Files
: This opens the
Manage SSN/TIN Verification Files
window, where you can remove employees or vendors from the verification file. When you select employees or vendors and select
Unverify
, they'll reappear in the SSN or TIN tab as unverified. The
Verified
checkbox will also be unmarked on the
Main
tab of the
Employees
or
Vendors
screen respectively.
File Location
: The location the verification file is saved to displays at the bottom of the screen. Select
Setup
then
File
then
Locations
and modify the SSN verification path to change the default location.
Create File
: When you've selected all the employees or vendors to include in the verification file, select this to create the file and save it to the file location that's displayed at the bottom of the screen. If a file already exists in this location, you're given the option to either replace or append to the existing file.
