Add historical or closed liabilities
You can use the
Add Liability
window to add a new payroll or tax agent liability that you've already paid outside the Accounting CS. These transactions are historical or closed liabilities.Adding a closed/historical payroll liability generates both the liability and payment for the full amount of the liability, so it gets recorded as paid.
Add a closed/historical payroll liability
- SelectActionsthenManage Payroll Liabilities.
- In theManage Payroll Liabilitiesscreen, select the client from the dropdown then selectAdd Liability.
- In theAdd Liabilitywindow, select the vendor from the dropdown, which includes the client's Payroll Agent or Tax Agent type vendors.
- Select the deduction, employer contribution, or tax item from theItemdropdown. The list contains all items related with the agent you select.
- Select the transaction date and then specify the amount for the liability.
- If you want this liability to be available for export via payroll journal export, mark theAvailable for payroll journal exportcheckbox.
- Mark theCreate as historical (closed)checkbox.
- After you make the selections, selectOKto create a new closed liability for the client, vendor, and item. You can go to theRegistertab on theVendorsscreen to view the historical/closed liability and the related historical payment for the selected agent.
Reopen a payroll liability created as closed/historical
If you need to reopen a payroll liability to pay it or need to delete the liability and historical payment completely, follow these steps.
- SelectActionsthenEnter Transactions.
- SelectEdit Multiple Transactionsto open theEdit Multiple Transactionswindow.
- ChooseDelete Historical Paymentsfrom theActiondropdown.
- Select the historical payments to delete, then selectOK.
- SelectActionsthenManage Payroll Liabilitiesto view the liabilities - now available as unpaid liabilities.
- Pay the liabilities or delete them, as needed.
