Map folders to Onvio documents
You can print documents such as reports, financial statements, letters
, checks, invoices, and forms
to Onvio Documents, part of the Thomson Reuters web-based Onvio application. Do the following to create custom folder structures for different document type categories in preparation for printing documents to Onvio Documents.note
You'll need to be licensed for Onvio to be able to print documents to Onvio Documents.
- Select to open theOnvio Documents Folder Mappingwindow.
- Select the tab that corresponds to the category for the document types that you're mapping to Onvio Documents. For example, various accounting-based checks and reports will use theAccountingtab, while variouspayroll-based checks and reports will use thePayrolltab
- For each folder level (Level 1 Name, Level 2 Name, etc.), select the value type (TextorVariable) and the value, which varies based on the value type you selected.noteTheValuefield is a text box or a dropdown, depending on theValue Typeyou've selected. If you selectTextas the value type, you can type any text (up to 150 characters). If you selectVariableas the value type, you can select a variable from the dropdown. By default, the Level 1 folder value is set to the Category name variable (which corresponds to the document category) and the Level 2 folder value is set to the Document date variable.
- If the value you selected is a date variable, you can select a date format (for example, m/d/yyyy) from theDate Formatdropdown.
- To add a folder level, selectAddat the end of the row. To delete the current folder level, selectDelete.
- You can optionally mark theDisplay Mapping Dialog at Printcheckbox.noteIf you mark the checkbox, theOnvio Documents Folder Mappingwindow will be displayed when you choose to print documents to Onvio Documents via thePrintwindow. This allows you to verify or update the values for the folder names and the document name at the time of printing to Onvio Documents.
- SelectOKto apply your changes and close theOnvio Documents Folder Mappingwindow.note
- If a client record doesn't already exist in Onvio Documents, one is created automatically when you print client-based documents from the application.
- The folder mappings for Onvio Documents that you define in the application apply to all staff and clients.
