Electronically file Form W-2

You can electronically file Form W-2 by setting up payroll tax forms, selecting Internet filing method, processing forms, then uploading the verified files.
You can electronically file Form W-2 by having Accounting CS create a file for you to upload to the Social Security Administration (SSA). Unlike other e-filed forms (such as the 941), Thomson Reuters doesn't transmit the file for you.
  1. Select
    Setup
    Clients
    Payroll Tax Forms tab
    .
  2. Verify the settings in the Federal W-2 Additional Information section.
  3. Select
    Internet
     for the filing method for Form W-2.
  4. Process the Filing copy of Form W-2 on the
    Process Payroll Tax Forms
     screen or the
    Edit Payroll Tax Forms
     screen.
  5. Select
    Actions
     then
    Process Internet/Magnetic Files
    .
  6. Select
    Transmitter Information
     and make sure the Federal W-2 User ID is correct.
  7. Select the client then select
    Create Files
    .
  8. Retrieve the files from the file location listed on the
    Process Internet/Magnetic Files
     screen.

    If you're using Accounting CS on Virtual Office CS, select
    File
     then
    Copy Files
     to retrieve the files to your local machine.
  9. Verify your W-2 files using the SSA AccuWage Online utility.
  10. Upload your W-2 files to the SSA website.
