Add or delete unpaid payroll liabilities
You can use the
Manage Payroll Liabilities
screen to add a payroll agent or tax agent liability not created during routine payroll processing and to delete any unpaid liability created in error.You may need to process liability adjustments after adding or removing payroll liabilities and before processing payroll tax forms.
Add an unpaid payroll liability
- SelectActionsthenManage Payroll Liabilities.
- In theManage Payroll Liabilitiesscreen, select the client from theClientsfield then selectAdd Liability.
- In theAdd Liabilitywindow, select the vendor from the dropdown, which includes all the client's Payroll Agent or Tax Agent type vendors.noteSelect a bank account on theVendorsscreen for the liability to include bank account information. TheAlways use payroll bank account for payroll liabilitiesfield on the Main tab of theVendorsscreen doesn't apply because the manually created liability isn't generated from payroll processing.
- Select the applicable deduction, employer contribution, or tax item from theItemdropdown. The list includes items related with the vendor you've selected.
- Select the transaction date then specify the amount for the liability.
- If you want this liability to be available for export via payroll journal export, mark theAvailable for payroll journal exportcheckbox.
- If the selected vendor is set up to be funded and you want to exclude this liability from fund processing, mark theExclude from fund processingcheckbox in the Options for Funded Clients section.noteIf theExclude from fund processingcheckbox is left unmarked (the default state), the funding status of this liability gets set toPending, making it available to fund. However, marking this checkbox will set the funding status toFunded. This specifies that the funds got processed, so the liability won't display in theFundingwindow. The liability will display in theManage Impound Paymentsscreen, and the payment will process from the impound bank account rather than the client's bank account.
- After you make the selections, selectOKto create a new liability record for the client, vendor, and item.
Delete an unpaid payroll liability
- SelectActionsthenManage Payroll Liabilities.
- In theManage Payroll Liabilitiesscreen, expand or collapse the list of liabilities by selecting the plus and minus signs next to the appropriate row.
- Mark the checkbox next to a vendor to select all unpaid liabilities for that vendor or mark the checkbox next to a liability to select that individual liability.
- When you've selected all the liabilities you want to delete, selectDelete Selected.
