Features available for client use

Features and functions available to clients in Accounting CS Client Access depend on the services that you enable for the client. Regardless of the firm’s license, you can enable any of the Client Access services for your client. However, it may limit the processing that you can perform for the client.
For example, if your firm is licensed only for the
Accounting
service, you can still enable to the payroll functionality for the client. However, you will not be able perform the payroll functions on behalf of your client or generate tax forms for your clients.
If your firm is licensed for the
Payroll
and
Payroll (After-the-Fact)
services, you can enable full payroll functionality for the client in Accounting CS Client Access, with the option to perform the payroll tasks on behalf of your client at any time.

Available services

The following services are available to enable for a client using Client Access. You can find these options in the Add/Remove Services screen when enabling Client Access.
  • Check writing:
     This allows basic accounting and check writing tasks, such as vendor payments and bank account reconciliation.
  • Check writing and payroll:
    This includes everything allowed in
    Check writing
    plus after-the-fact or live payroll processing tasks, such as printing payroll checks, batch check entry, and new hire processing. If you have
    Payroll
    and
    Payroll (After-the-Fact)
    services enabled, your firm has full payroll capabilities when setting up and processing data for this client. This means that your client won't have full payroll capabilities in their Accounting CS application, and you can use the
    Limit payroll to
    checkboxes to restrict the client's payroll capabilities.
    • If you mark
      Setup
      only, the client can set up employee payroll information and access payroll reports, but they cannot access payroll processing or data entry screens.
    • If you also mark
      Time Entry
      , the client can enter payroll data in the
      Enter Batch Payroll Checks
      screen, but will no longer be able to enter payroll data in the Enter Transactions screen. Your firm maintains the ability to impound payroll funds and to control check printing and direct deposit processing.
    • If you don't mark the
      Setup
      or
      Time Entry
      checkboxes, your client will have full payroll capabilities, and you must clear at least the
      Payroll
      checkbox in the Services section above.
  • Client Accounting:
    This includes everything allowed in
    Check Writing
     and the option to include Accounts Payable and Accounts Receivable services.
  • Full Service Bundle:
     This is a combination of all 3 options. It includes Check Writing and Payroll, with options to include Accounts Payable and/or Accounts Receivable services. The same Payroll scenario applies here as it does above.

      tab: Limited to the checks that the client staff entered for the clients they have access to.

      tabs: Funded transactions are hidden. For clients with only the Check Writing service, the
      Payroll Liabilities
      tab is unavailable. 
  • Print
    screen: Client staff can't print to Document Presentation or Engagement CS.
  • Copy Files
    : Limited to 1095 C data, Direct deposit/ ACH, New hire reporting, and SSN/TIN verification.

    : Clients can't move to a period in a fiscal year that's earlier than the current fiscal year in Accounting CS (firm). If the
    Enable close posting periods for Client Access
    checkbox is marked, clients can't move into a period that has been closed.
