Phase 2: ONESOURCE Calendar set up
Configure users and security
Review the new ONESOURCE Calendar permissions to familiarize yourself. Decide how you'll structure your groups and user permissions.
Set up user permissions for the new Calendar
- All users currently in Classic already exist in ONESOURCE Administration.
- Set user permissions for the new Calendar individually or via Group that Calendar permissions.
- Ensure you assign all users to on theProduct Assignmentspage. This will let them see the Calendar icon in the Global Header bar.
- If you plan to attach documents to Calendar Due Dates, be sure to:
- Turn onDocumentsandDocument Previewin theProduct Assignmentssection.
- Give them permissions forRead,Preview, andDownload.
Turn on jurisdictions and domains
Jurisdictions and Domains are now centralized lists maintained by Thomson Reuters. Calendar will only schedule and show those jurisdictions that have been associated to Calendar.
Identify required jurisdictions and domains (tax types)
- Find the Obligations that you marked for use on the Global Content Library (GCL) in the previous steps.
- Select and copy the following:
- For jurisdictions:Jurisdiction Code,Name, andTypecolumns from the GLC.
- For domains: Domain (Tax Type) columns.
- Remove duplicate entries.
Turn on the refernce data for jurisdictions and domains (tax types)
- Go to .
- Turn on all required jurisdictions and domains.
Create entities in ONESOURCE administration
You'll need to make sure that you created all entities in and associate them with Calendar.
Required fields
You'll need to provide the following fields for each entity:
- Entity Name
- Entity Code (Entity ID = Entity Code)
- Taxed As (Corporation, Flow Through)
- Tax Year Start and Tax Year End dates
- Floating Year information
Additional information
You may be need to provide additional information depending on the obligation:
- U.S. Return Type, if you're scheduling U.S. obligations.
- Incorporation or Qualification Details for some obligations.
- Tax ID or Registration Information for some obligations.
Customize the properties page and fields
The new Calendar lets you customize the information you capture for each Due Date, a key new feature. While Calendar Classic offered the ability to add some user-defined fields, the new Calendar lets you customize the page. You can customize sections and fields to reflect your organization's needs.
Analyze your current custom fields
- Review your exported data to understand current field usage.
- Determine which custom fields to eliminate versus retain.
- Identify new fields that would be helpful.
Design your custom properties page
- Add logical sections to organize information.
- Create custom fields to capture relevant data around due dates.
- Configure field types and validation rules (for example, lock when complete or roll forward).
Design custom status configuration
- You can customize the list of statuses.
- You'll begin with 2 default statuses:OpenandCompleted.noteThe new Calendar lets you mark multiple statuses asClosed. Many customers use aNot Relevantstatus to close a Due Date for reporting, while indicating that no work was needed.
