Search Admin
tool serves as a central point for administrators to manage content displayed in Knowledge Search across all CoCounsel touchpoints. Administrators' decisions influence all areas where Knowledge Search appears.
Knowledge Search, an out-of-the-box feature of CoCounsel Core, enables organizations to showcase knowledge from their documents, Thomson Reuters, and other third parties. Legal professionals can utilize keywords or natural language searches and benefit from generative AI summaries and keywords in their documents. Refer to the separate Knowledge Search documentation for more information.
What is the Admin Module?
Organizations manage Knowledge Search from a single location within CoCounsel.
What's included?
Administrators control the following:
  • Which sources are available to users (for example, iManage, Practical Law)
  • Limit specific sources, such as SharePoint, to certain sites and folders
  • Configure on-premises sources with additional parameters needed for connection
Is it launched?
The administration capabilities launched alongside Knowledge Search in Outlook on March 15. CoCounsel Draft will use these settings during Q2. Administrators who set up search for Outlook don't need to take further action for CoCounsel Draft.
Is there an additional cost?
No, this is part of the base CoCounsel package.
Where is this available?
All markets and regions where CoCounsel is available.
When an administrator limits folders, does that mean all users can see the folders which they limit a source to?
All content is viewable only when the user has permission to see the content within the underlying systems. If an administrator limits a source to specific folders, only that content will be searched, and only when the user has the relevant permissions.
If an administrator configures the settings in March, do they have to do anything else when Drafting uses these settings later?
No, settings are configured automatically.
Who can see the data saved?
Only trained personnel can see live data, and there is a rigorous process for requesting access to it. For example, access may be requested during a support query.
Can settings be configured anywhere else?
On-premises settings can be configured within CoCounsel Draft. All other settings are accessible only through the CoCounsel

Can normal CoCounsel users see the search administration settings?
No, only administrators can view these settings.
Where is the administration data held?
In the United States. Users sign in using their credentials to access underlying systems, and the administration tool doesn’t view data in these systems.
Does an administrator have to configure anything in the systems they're connecting to?
Potentially. For example, in Microsoft, some organizations have additional administrative settings within their Microsoft environment where they need to give Thomson Reuters access. iManage has a similar option. These settings are on the source side, not on the Thomson Reuters side. Organizations must give Thomson Reuters access first and then configure the relevant content settings in CoCounsel.
Can the organization disconnect a source?
Yes, when needed. Users will automatically lose the ability to search that source. When disconnected, all users will stop seeing that source as an option to connect to and search. Any folder or name settings for a source may be removed.
When an administrator connects to a source, do all users immediately get access to that source in the search?
No. When an administrator configures a source, it only provides users with the option to connect to that source, with any applied restrictions. Each user makes a one-time choice to connect to the source when they first want to use it in their search.
For which content sources can administrators customize specific folders?
Administrators can customize folders for the following content sources:
  • SharePoint
  • iManage Cloud
  • iManage on Premise
  • NetDocuments
Can Administrators customize anything else?
Yes, they can customize the name for OneDrive content sources as well.
Once I configure a content source, can I go back and update it?
Yes, you can manage folders and update the content source’s name anytime.
What's a custom content source?
A custom content source is when you customize the name or limit folders for a content source.
Can I turn off a custom content source?
No, currently you must delete a custom content source if you don’t want the rest of the users to see it.
Why does iManage on-prem have additional settings?
As an on-premises content source, each set up has a unique URL and firm-specific settings. Those with iManage on-prem may need to perform additional activities to give CoCounsel access to their on-premises resources.
